POSITION SUMMARY

The Regulatory Specialist reports to the R&D Lab Manager and will manage third-party certifications, permits and registrations. This will include creation & assembly of compliance documentation, updating of certification and registration platforms, assisting Quality Department with audit preparation, and leading projects. This role will work closely with representatives from certifying and regulatory agencies on time-sensitive and detail-critical deliverables. The Regulatory Specialist will support Manufacturing, Quality and R&D departments with assigned research projects related to both new and existing products.

RESPONSIBILITIES

  • Manage all regulatory and certifying organization compliance deliverables and web-based portals
  • Ensure on-time completion of renewals, document uploads, reporting requirements and related submissions
  • Update the regulatory knowledge database, and the annual regulatory calendar
  • Create and publish monthly FDA Warning Letter Summary for management review
  • Assist with audits and special projects as assigned by management
  • Be knowledgeable of certification requirements set forth by FDA, CCOF, EWG, Gluten Free Council, Leaping Bunny, Non-GMO Group, etc. 
  • Research existing and emerging regulations, standards, and guidance documents at both Federal and State levels.
  • Advise on company GMP policies, by supporting the evolution of ongoing best practices and systems in partnership with Manufacturing and Quality Team leadership.
  • Perform ongoing reviews of existing ingredients as certifying body guidelines change
  • In coordination with Quality Team, develop and/or conduct employee training related to regulatory compliance and manage related documentation.
  • Analyze product complaints relevant to regulatory concerns and make recommendations regarding resolution
  • Coordinate a full review and periodic update of SDS data for both existing and new ingredients


Other

  • Support a safe working environment by reporting any unsafe conditions or observed, unsafe conduct.
  • Perform other tasks and projects as directed by the manager



SKILLS/QUALIFICATIONS 

  • Excellent technical and problem-solving skills
  • High level of organization and attention to detail
  • Excellent oral and written communication skills
  • Excellent interpersonal skills and ability to interact with people at all levels 
  • Integrity and discretion in dealing with confidential information
  • Proficiency with Excel, and database systems
  • Demonstrated ability to absorb and retain information
  • A passion for the cosmetic/personal care/natural industry a plus!
  • Ability to meet deadlines
  • Ability to identify and seek needed information/research skills


EDUCATION AND EXPERIENCE: 

  • 2-4 years experience in regulatory or compliance related roles required
  • Bachelor’s degree in business administration with experience in research preferred, or equivalent work experience
  • Five years of work experience in an administrative capacity required 
  • Intermediate to advanced skill level with office software and document management
  • Previous experience in regulatory, quality, manufacturing environment preferred

This position requires the ability to work on office equipment including a computer for a prolonged period of time.

GENERAL WORK ENVIRONMENT


This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. 

 

While performing the duties of this job, the employee occasionally will work on a production floor or warehouse environment. The noise level in the work environment is usually moderate, but occasionally high.
