Office Manager- Construction
Dynamic, rapidly growing, and well-respected construction contractor company has an opportunity for you to use your office management and generalist accounting expertise to contribute to the strategic development of this organization.
You will be responsible for the daily office functions, processing the full cycle of accounting including accounts payable/receivable, legal compliance, tax filings, payroll, customer & vendor requirements, weekly, monthly and year end reports. In addition, you will be responsible for the administrative obligations of the business which include submitting and obtaining permits, material ordering, scheduling, purchasing and other functions.
If you have exceptional office management, general bookkeeping in a construction office setting that enjoys a team environment, you may qualify for this position.
Must have experience using QuickBooks Online
Essential Functions
· Complete hands-on responsibility for the office and bookkeeping functions using QuickBooks Online
· Obtaining and submitting permits
· Purchasing and ordering materials
· Working with vendors
· Answering telephone calls and emails from customers
· Monitor Office Supplies including ordering all supplies as needed
· Processing of AR/AP and collections activities
· Processing payroll
· Responsible for maintaining cash management systems
· Maintain compliance with all applicable State and Federal laws and regulations
· Bank statement reconciliations
· Preparation of financial reports
· Ensure that the administrative and data entry functions are completed
· Facilitate correspondence between homeowners, builders, designers, and architects
· Other functions as directed by management
Essential Qualifications
· Experience in a construction office setting is Required
· Three (3) plus years of bookkeeping, and office management experience
· Strong written, verbal, and interpersonal communication skills
· Adaptability to changing needs and situations
· Ability to anticipate, identify, and resolve problems in a timely manner
· Ability to work with vendors, obtain pricing, purchasing, scheduling and materials
· Submitting permits
· Job costing and/or estimating experience is preferred
· Verifiable expertise with QuickBooks Online is Required
· Microsoft Office Products (Word and Excel) is required
· Experience with tax and regulatory compliance
· Generalist experience with office management, human resources and customer service required
· High School Diploma or GED is required
