Job Description

Job Title: Site Coordinator Department: Programs

Reports to: Program Manager Status Non-Exempt (PT & FT)

Job Summary:

The Site Coordinator manages a single program site and is responsible for ensuring a safe, organized, fun and educational after school program.

Duties/Responsibilities:

  1. Create a smooth transition between instructional day and expanded learning program
  2. Attend school site events to engage with parents, school site and recruit participants
  3. Work with Program Managers to strategically manage site level budget and create a spending plan that is in line with program plan
  4. Ensure that program plans and calendars are up to date and posted
  5. Build community support by providing high-quality programing that engages participants and provides them a safe, healthy space to thrive
  6. Maintain daily attendance records, ensure that all attendance deadlines are met
  7. Have a clear line of communication with parents, school administration and site staff.
  8. Have regular site meetings
  9. Maintain up-to-date records on all participants and site staff
  10. Approve site staff timesheets with all deadlines
  11. Distribute parent handbooks with up-to-date site policies and procedures and program registrations and hold parent orientation
  12. Outreach with potential partners in the community to sustain program outcomes
  13. Collaborate with appropriate school, community, public and private stakeholders to leverage program resources.
  14. Manage all incident reports and ensure that they are properly documented
  15. Post, advertise and actively recruit participants for the program
  16. Maintain and update FPM box
  17. Attend all WFIT professional development opportunities
  18. Set bi-weekly staff schedules/roster
  19. Hold weekly staff meetings on site
  20. Manage site budget by making sure that staff are within their hours and that supplies being purchased are in line with program needs
  21. Other responsibilities as assigned

Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills and ability to work in a collaborative environment
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong analytical and problem-solving skills.
  • Strong supervisory and leadership skills.
  • Ability to prioritize tasks and to delegate them when appropriate.
  • Proficient with Microsoft Office Suite or related software.

Education and Experience:

  • Graduate or majoring in education, physical education, recreation or a related field is desirable.
  • High school diploma or equivalent.
  • Experience developing and implementing expanding learning programs and or educational activities
  • At least one-year experience in a supervisor role.
  • At least two years’ experience working with youth required

Physical Requirements:

  • Must be able to lift up to 15 pounds at times.
  • Regular physical activity participation is required
