About the Role
As the Manager of Administration, you will Shine Hope by supporting the President in the day-to-day activities of the corporation as you provide administrative support to the President and other designated staff. You will provide relational and administrative support to the Board through the Office of the President. You will also serve as administrative and project support for the development and maintenance of mechanisms that support communications with the Board, such as on-line tools that facilitate Board communications, e-Resources, Board orientation, logistics, and document archiving.

What you will do
As a member of our team, you will have an impact on our clients through accomplishment of the following responsibilities:

  • Coordinate meetings for the Buckner Children and Family Services, Inc./Rio Grande Children's Home Board of Directors including but not limited to arranging meeting space, meals, transportation, sending invitations, preparing agendas, uploading documents to the e-tool, coordinating travel and lodging.
  • Proficiently administer the on-line Board support tool and act in a super-user technical capacity to understand the capabilities and limitations of the tool as well as how to optimize its use for the development and upkeep of an e-Board Resource library in support of the Board.
  • Oversee the negotiation and work with hotels and other vendors to facilitate arrangements for events as assigned. Secure contracts with vendors for services and lodging. Oversee performance of vendors in accordance with the contracted terms for service. Resolve issues immediately. Manage accounting matters related to contracted vendors.
  • Work successfully with the Legal team as part of the Board support and administration with responsibility for maintaining working relationships with co-workers and maintaining the utmost level of confidentiality and professionalism.
  • Independently manage tasks and projects; research, analyze data, produce monthly reports and assist with budget preparation and reporting as assigned and required.
  • Manage people leadership functions as required to directly supervise the BCFS Executive Assistant to include hiring, performance management, coaching, and training.
  • Analyze the needs of the BCFS support center office; develop and implement processes for efficient operation; responsible for continued alignment with budget goals; demonstrate operational competence and ability to work independently.
  • Effectively handle all types of communication including correspondence with internal and external constituents. Meet with President regularly to discuss and follow-up on communication and activities. Keep President informed of communication and activities handled in his/her absence.
  • Effectively coordinate and provide logistical support for meetings as assigned by President and/or other designated staff. Attending meetings at various geographic locations to assist with location and event needs.
  • Effectively maintain database information for the President's contacts by updating his/her electronic contact list accurately and timely.

What you will bring to the team:
To be successful in this role and a great addition to our team we need you to come with the following:

  • High School Diploma (or G.E.D.) plus related work experience required.
  • Minimum 7 years prior related experience supporting senior executive leaders and boards required.
  • Requires ability to drive assigned vehicle(s) or personal vehicle, with appropriate state license, following all laws applicable; must provide proof of liability insurance and must be eligible to be insured under Buckner's insurance policy. Must be age 21 or older to drive on behalf of Buckner.
