Operations Specialist

DEPARTMENT: Registrar

REPORTS TO: University Registrar

HOURS PER WEEK: Full Time (40 hours per week)

FLSA STATUS: Non-Exempt

REVISED: August 2022

SUMMARY: The Operations Specialist supports the University Registrar’s office through primary oversight of key administrative tasks related to international partnerships. These tasks are key in maintaining not only accurate academic records for a variety of purposes but the function is also key in ensuring excellent working relationships with Corban’s international partners around the world. This position will also support the online undergrad and traditional undergrad students with transfer credit evaluations.

ESSENTIAL ADMINISTRATIVE TASK FUNCTIONS FOR INTERNATIONAL PARTNERSHIPS

  • Primary administrative responsibility all international partnerships that are required by the Registrar’s office. These include but are not limited to:
    1. Secure and process application for all new students in ITC, TC, IBLT
    2. Build course schedules and terms in Populi as needed for ITC, TC, IBLT
    3. Registration for ITC, TC, IBLT
    4. Grade entering for ITC, TC, IBLT
    5. Build, maintain, and ensure accurate degree audits are in place for all international programs.
    6. Process transcripts requests as needed by Ed Sept.
    7. Ordering Diplomas for ITC, TC, IBLT
  • Develop/build reports as needed for various stakeholders using the reporting and filter functions in Populi.
  • Work directly with international partners as directed by supervisor maintaining positive working relationships and excellent customer service.
  • Other duties as assigned

ESSENTIAL ADMINISTRATIVE TASK FUNCTIONS FOR TRADITIONAL ONLINE UNDERGRAD AND GRAD STUDENTS

  • Supports the Registrar in maintaining the Student Information System (Populi) on edits and updating.
  • Processes Transcripts- including incoming transcripts for transfer credit and fulfilling requests for outgoing transcripts
  • Supports the Registrar’s office in creating and maintaining credit evaluations for all incoming undergraduate transfer students, readmit and online undergrad students with transfer credit and freshmen with incoming college credit.
  • Supports the Registrar’s office with incoming emails, student support.
  • Supports the Registrar’s office to build and maintain the University’s Transfer Evaluation System database (“TES”) and repository of standard equivalencies.
  • Supports the athletic department for NAIA academic eligibility for each sport and connective season.
  • Supports Veteran students and works with the VA Certifying official to maintain records and submit appropriate reports
  • Supports Registrar Office hosted events: Commencement and Grad Finale.
  • Other duties as assigned

KNOWLEDGE, SKILLS AND ABILITIES:

  • Must have a high level of competency of use with MS Office programs including MS Word and Excel.
  • Must also possess the understanding of student information systems and how they can be utilized to their fullest potential.
  • Must be able to develop efficient and effective processes utilizing the computer systems resulting in accurate information being entered, stored, and disseminated.
  • Ability to define problems, collect data, establish facts and draw valid conclusions; interpret a variety of instructions, some technical in nature.
  • Knowledge of industry and Corban academic policies and best practices is desired.
  • Ability to work independently yet still recognize the need to communicate and work with other individuals and departments.
  • Sensitivity to challenges of working with diverse cultures and cultural expectations.
  • Must also possess strong interpersonal skills demonstrated by the ability to work well with a variety of people on an individual basis.
  • Strong written and verbal communications skills. The individual must have the ability to respond professionally to common inquiries or complaints from students, parents, alumni, or members of the education and business community.
  • Attention to detail and strong time management skills.
  • Ability to handle multiple projects and competing priorities.

QUALIFICATIONS AND REQUIREMENTS:

  • Bachelor’s Degree required.
  • Evidence of strong leadership and administrative skills.
  • Evangelical Christian commitment and lifestyle consistent with the university’s mission as described in our Statement of Faith
  • Candidates should value an environment that reflects the diversity of God’s kingdom, engages in global concerns and connects culturally.

WORKING CONDITIONS: Some weekend and evening hours are required to support registration and commencement.
