Craig Realty Group is currently seeking a full-time Construction Administrator. The Construction Administrator provides administrative support to Construction Department including the Tenant Coordinator, Project Manager, the company's Design Architect, and as needed the Environmental Graphics Manager.

Essential Duties and Responsibilities include but are not limited to:

  • Prepare and distribute correspondence, emails, memos, and mail.
  • Maintain a detailed filing system (both paper and electronic) appropriate to information retention and retrieval needs.
  • Prepare meeting notes, and schedule and coordinate meetings.
  • Assist in reviewing invoices and supporting documentation for approval.
  • Prepare project tracking reports.
  • First point of contact for invoices, releases, contracts, and change orders.
  • Administer Tenant's General Contractor's Pre Construction Documentation Packages for new and remodel tenant improvement projects.
  • Administer Tenant Improvement Allowance packages for final installment distribution.
  • Correspond with tenants to ensure all required documents are received and in compliance with lease requirements.
  • Update and distribute tracking and budget report.
  • Administer Tenant Pre Construction Packages for all Tenant Improvements.
  • Distributes and administers pre-construction packages with tenant's general contractors.
  • Reviews contractors or subcontractors' Certificates of Insurance for compliance, and acts as liaison with the company's insurance broker for final review and approval.
  • Receive all preliminary notices for the company such as:
    • Scan and electronically save Owner/Landlord prelim notices in the appropriate Accounting Job Cost folder.
    • Set up and update the job-specific Job Cost tracking report.
    • Assist Accounting in obtaining lien releases from general contractors/vendors for invoice processing.

EDUCATION and EXPERIENCE
  • High school diploma or general equivalency diploma (G.E.D.)
  • 1 year of experience as an administrative assistant is preferred. Construction experience is a plus.


Qualifications for Construction Administrator:
  • Ability to comprehend, analyze, and interpret complex business documents and transactions.
  • Ability to effectively respond to issues both verbally and in writing.
  • Commitment to achieving a high level of customer service.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to identify and analyze problems with limited information, and then recommend a resolution.
  • Ability to anticipate the needs of the department to ensure operations are running smoothly.
