SUMMARY

Daily duties include fielding calls from the drivers that they are dispatching as well as calls from our service providers and customers. They need to be professional and accurate with the information they give out. Enter dates for deliveries and pickup and do all the advance notification needed to inform all parties on the intentions and schedule of the drivers.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Receives information of actual or potential problems related to service of a shipment and determines action to be taken to solve the situation.

Insures that each driver and his vehicle is qualified on each trip on a daily bases to perform his assigned duties (this in conjunction with all DOT and ICC rules and regulations)

On a daily basis monitors and updates the location and activity of the drivers assigned to his or her dispatch group.

Communicates to the drivers, their instructions on pickups and deliveries. Also maintains the information in the IVL system as to location, weights, actual load dates as well as estimated load and delivery dates.

Responsible for filling out the load for the driver when needed in Path Screen.

Acts as the liaison of information between drivers and different departments within the company.

Assures that customer service requirements are being provided by the drivers. (This includes being on time, ULTRA PAK is being done when needed, and job complete before leaving residence)

Develop and maintain positive working relationship with agents, drivers, and staff to enhance teamwork and produce quality customer service. Make calls to agents to generate business. Always be looking and making calls for opportunities to generate additional revenue for the company.

Monitor all tools available, to ensure that all shippers' household goods are being moved and delivered on time. This is to be done with the efficiency of the loads and the sates given to have the satisfaction of all customers in mind.

Make calls to all service providers on Random schedules basis to generate any additional or new business.

MINIMUM EXPECTATIONS/STANDARDS OF PRODUCTIVITY:

Measured on timeliness on shipment pick-up and delivery.

Attitude, attendance, dependability, and continuing knowledge growth of department.

Accountable for the actions of all positions within the department.

SUPERVISORY RESPONSIBILITIES

Directly supervises 25-30 employees in the Long Distance Department. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Ability to speak effectively with customers, drivers, and other members of the staff.

Have the ability to deal with a variety of practical and unforeseen problems and situations, often times under stressful situations.

Must have the ability to navigate the IVL computerized dispatch system. Should also be able to type and listen at the same time. Should be able to know how to use Word and Out look.

Refer to the IVL Quality Standards Manual for other related company policies.

One or more years experience working dispatch or like position.

High school or better

Must have vast knowledge of geological regions, including but not limited to key points and mileage between the above mentioned.

Minimum requirement in Microsoft Word, Excel and PowerPoint of Beginner Level (Intermediate Level or higher preferred). Minimum keyboard skill level of 40 wpm.

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

MATHEMATICAL SKILLS

Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
