Job Description

Position Overview

The Resource & Delivery Manager understands project requirements as well as employee skillsets and background and uses this information to bring operational efficiency to the project workflow by identifying and managing the appropriate talent to ensure delivery of quality work that is on time and within budget.

The role provides accurate and insightful reporting and analysis to leadership and project teams, identifying gaps, helping to resolve issues, and ensuring milestones and quality control standards are met. The Resource & Delivery Manager works to balance workloads, optimize utilization, and increase efficiencies.

Essential Functions and Responsibilities

  • Resource & Delivery Management: Administer and maintain current and projected schedules for the Design and LabZ disciplines. Problem-solve to ensure a smooth project process and resolve schedule conflicts. Track and optimize project team resourcing, update resource assignments, and projected hours required for task/milestone completions. Conduct and run deliverable coordination meetings. Analyze and manage ongoing utilization, identify instances of current and potential future over/under utilization, and work with leadership to address issues and mitigate risk.
  • Quality Control: Review and approve all weekly time entries and ensure bill rates, project phases or activity items are accurate. Oversee project commitments and deliverables to ensure timely and consistent project plan updates are provided and met, including proposal tasks and actions, deliverable status and progress tracking, and adherence to all commitment dates. Alert leadership of any risks that could impact the project/client plan.
  • Partner: Collaborate with the Director of Design Services to support the development of scope of work based on functional and business needs. Engage the team regarding deliverables and timing expectations to support a balanced workload for the company. Communicate the status of projects to the team on a regular basis. Champion, advocate, and implement all company and departmental processes and initiatives, assisting in ongoing process improvement.
  • Communicate: Brief team members on project status. Demonstrate consistently good judgment in choosing methods of communication that are most effective and efficient (i.e. team meetings, in-person, phone calls, or emails). Provide critical project information on scope, budget, and timeline to team on a regular basis.
  • Resource Projections: Collaborate with the Director of Design Services, Director of Finance, Director of Business Intelligence and Director of Talent & Culture to identify the data, processes and reports required to present company-wide resource projections to the leadership team. Maintain resource data throughout the month to ensure accurate reports.

Responsibilities

  • This is a remote position, but you must be able to work PST time zone (8 am – 5 pm)
  • 5+ years project management experience. Physical security design experience preferred; architecture, engineering, construction experience considered.
  • Ability to analyze and understand staffing plans, allocations, and resourcing reporting
  • Exceptional attention to detail and highly organized, with the ability to prioritize and balance workloads
  • Adaptable/flexible with the ability to work under constraints/pressure and quickly respond to changing/fluctuating priorities throughout the day
  • Demonstrated ability to facilitate, negotiate, influence, and collaborate
  • Strong time management, problem-solving, and decision-making skills combined with a sense of urgency to deliver operational excellence
  • Excellent written, oral, and interpersonal communication skills
  • Highly proficient in the use of Microsoft Office software
  • Proficiency in project management tools, such as MS Project, SharePoint, and QuickBase
  • High-speed internet (minimum 200 Mbps d/l, 1oMbps u/l) and a designated workspace are required
