Job description

Department Overview

The Pharmacy Centralized Trainer Compliance Analyst is responsible for participation, coordination, monitoring, and execution of the Pharmacy Centralized Training Program and the Pharmacy Compliance Analyst team.

Positional purpose includes: develop and facilitate the training for pharmacy students, pharmacy technicians, pharmacists (including residents), and as needed, other healthcare personnel engaged in medication management. Training includes shoulder-to-shoulder training, compounding competencies and aseptic technique assessments, as well as the management of training related competencies and records and ongoing monitoring and evaluation of the effectiveness of training processes. Pharmacy Centralized Trainer Compliance Analyst must also drive training program improvement through the development, review, and updating/maintenance of training documents and methods. Team members must be able to deliver oral and written recommendations to Operational Leaders regarding training or operational changes. Training areas may include any of the pharmacy service departments or OHSU areas where medications are handled by nonpharmacy workforce members.

Responsibilities include, but are not limited to: training members of the pharmacy workforce either while staffing a pharmacy shift or while serving purely as a trainer; identifying, cataloging/organizing, updating, and maintaining training documents/checklists/policies; developing training schedules; collaborating with pharmacy operational and clinical leadership; assessing training quality; training process improvements. quality assessment and monitoring; process improvement and ongoing monitoring; maintenance of practice standards, diversion detection, customer service, compliance with accreditation standards and applicable laws and regulations in coordination with all pharmacy service lines and other hospital departments that have medication managment. Compliance responsibilities also include: research, analyze and interpret OBOP, DEA,CMS, FDA, DNV, USP, out of state licensing, laws and regulations to assess impact, practice and adminstrative policy and procedure and to make recommendations as to procedural changes to achieve and maintain compliance. Team members may also be required to staff in pharmacy shifts while not training as needed to maintain competence in specific areas. 

Function/Duties of Position
  • Serve as a trainer for pharmacy workforce and other OHSU workforce members engaged in Medication Management activities. Training activities include but are not limited to:
    • Shoulder to shoulder training in assigned pharmacy technician shifts/duties/roles
    • Facilitation & maintenance of aseptic technique assessment, compounding competencies, and environmental monitoring in accordance with USP <797> and USP <800>
    • Training and assessment of staff in accordance with USP <795>
    • Routine revalidation of staff competency
    • Document training completion statuses in various software including but not limited to Simplifi797, Compass, OnBase, and Smartsheet's.
    • Organize, update, and maintain training documents including, but not limited to, policies, procedures, checklists, and job aids
  • Diversion detection/prevention program monitoring and CS handling review to include but not limited to:
    • Anomalous use reporting and coordination with hospital leadership
    • Closed Loop monitoring and report out to nursing team as appropriate
    • ADC audits
    • Anesthesia Report outs to leadership
    • RN Diversion report of suspected diversion investigation
    • Discrepancy audits 
  • Be trained-in and staff pharmacy technician shifts to maintain competency in areas as needed 
  • Agency Representation: Maintaining timely response and action to regulatory inquires including Board of Pharmacy licensing in and out of state, DEA Registration, CSOS application, payments associated. Also to include Medicare (CMS) requirements such as liability and surety bonds. 
  • Program Monitoring and Coordination: Assist in managing pharmacy/drug management programs including but not limited to:
    • Audit compliance for FDA required Risk Evaluation and Mitigation (REMS) programs for OHSU pharmacy and prescribing practice
    • Audit Vaccine for Children (VFC) program
    • Prescription Drug Management Programs (PDMP) standards
    • URAC, ACHC, and other accreditations
    • DSCSA
  • Document Control: Coordination/editing/formatting of pharmacy and medication management policies and procedure while meeting MCN and document control requirements. Coordinate with pharmacy department stakeholders to update policy content in a timely manner.
Required Qualifications
  • Five years of experience with responsibility for program or project monitoring and coordination.  The experience must have included program evaluation responsibility. 

  • A bachelor's degree in Business Administration, Management, Public Administration, or a field directly related to the position will substitute for two years of the required experience.

  • Note: preference may be given to individuals with experience in a specialty area specific to the position opening.

  • Ability to read and understand medical-related terms.
  • Skill at manipulating small objects, e.g., needles, syringes, ampules.
  • Ability to use mechanical system for transfer of fluids.
  • Knowledge of and skill at application of aseptic technique.
  • Ability to establish priorities in workflow.
  • Ability to work under supervision of diverse Pharmacist
  • Ability to work and collaborate with a diverse group of individuals
  • Ability to resolve interpersonal conflict 
Preferred Qualifications
  • Oregon State Board of Pharmacy Technician license
  • Pharmacy Technician Certification Board Certifications including PTCB CPhT; PTCB CSPT; PTCB CPhT-Adv; PTCB CPTEd
  • Pharmacy Technician Certification Board Certificates including Controlled Substance Diversion Prevention, Hazardous Drug Management, Nonsterile Compounding, or Regulatory Compliance 
  • Inpatient, infusion, and/or outpatient pharmacy experience; experience developing schedules; demonstrated experience in training and competency management
Additional Details

Work Schedule: Sunday through Saturday, variable hours.

Work Location: hybrid; in-person training may be assigned at any of OHSU's pharmacy or medication management locations (including clinics in the states of Oregon or Washington)

Potential exposure to hazardous chemicals or medications

Work will require ability to work under direction of multiple pharmacists at various times.
