Job description

In short

As the Lead - Payroll Administrator, you are the foundational leader for all end-to-end payroll operations, multi-jurisdictional tax compliance, and accurate employee compensation across the US, Canada, and LATAM. This critical role requires a hands-on expert (6+ years experience) with expert-level proficiency in Workday Payroll. Your mission is to execute complex multi-national payroll cycles with 100% accuracy, owning multi-jurisdictional tax compliance (US multi-state, Canadian provincial, Brazilian eSocial), global year-end filing (W-2s, T4s, Income Statements), and complex equity transactions (RSUs, ESPP). Success involves partnering with People Systems (HRIS) to optimize Workday and driving continuous process improvement to ensure scalability for On's rapid global growth.

Your Mission
  • Execute and audit multi-national payroll cycles (US, Canada, and LATAM) within Workday, ensuring 100% accuracy and strict adherence to diverse federal, state, and local regulatory requirements
  • Own multi-jurisdictional payroll tax compliance, including the oversight of tax filings, registrations, and quarterly/year-end reconciliations across all assigned regions
  • Partner cross-functionally with People Systems (HRIS) to optimize Workday Payroll configurations, ensuring seamless data flow between HCM, Benefits, and Payroll modules
  • Manage complex tax inputs and statutory deductions specific to US multi-state regulations, Canadian provincial requirements, and Brazilian eSocial reporting
  • Lead payroll tax audits and serve as the primary conduit between On and external tax authorities or third-party vendors to resolve complex filing discrepancies
  • Drive the continuous improvement of Workday payroll processes by identifying automation opportunities to increase speed and scalability as On expands globally
  • Act as the subject matter expert for Workday payroll reporting, providing Finance and Talent leaders with high-quality data insights and labor cost analysis
  • Orchestrate the global year-end reconciliation and filing calendar, ensuring the timely delivery of W-2s (US), T4s (Canada), and statutory Income Statements (Brazil) in accordance with local regulations
  • Manage RSU and equity-based compensation payroll processing, ensuring accurate tax withholding, reporting, and reconciliation between global payroll systems and equity platforms
Your Story
  • 6+ years of functional experience managing high-volume payroll operations within a fast-paced, global brand
  • Expert-level proficiency in Workday Payroll, including hands-on experience with Workday configurations, settlement runs, and payroll accounting
  • Deep technical knowledge of US payroll tax legislation, with a proven ability to independently navigate complex tax nexus and filing requirements
  • Demonstrated experience managing end-to-end year-end tax processes and successful historical performance in resolving multi-state tax notices and audits
  • Advanced analytical skills with the ability to break down complex payroll data into actionable insights while maintaining meticulous attention to detail
  • A collaborative mindset that thrives in a matrixed environment, balancing global alignment with the nuances of local execution
  • Extensive experience managing complex equity transactions (RSUs, ESPP) within payroll, including "sell-to-cover" tax treatments and mobile employee adjustments
  • Proven track record of successfully leading multi-national year-end processes, including the management of external vendors for international tax statement production (e.g., ADP W2 Management)
