Job description

Status: Regular, Part-time, Non-exempt


Position summary: The Weekend Receptionist serves as the first point of contact for visitors, staff, and callers, creating a welcoming and professional experience while supporting the daily operations of the organization. This role manages incoming telephone calls, greets and assists visitors, coordinates communication with campus personnel, and performs a variety of administrative tasks to ensure the efficient operation of the front desk. The Weekend Receptionist also supports building access, visitor management, mail distribution, maintenance requests, and vehicle coordination while responding promptly to emergency situations and maintaining an organized and customer-focused environment.


Qualifications:

  • A Christian with strong convictions who is also in agreement with Josiah White’s mission statement, Statement of Faith, and Code of Conduct.

  • Must be 21 years of age or older.

  • A high school diploma is required.

  • At least one year of previous receptionist or administrative assistant experience is required.


Essential job functions:

  • Manage Front Desk Operations: Greet visitors, answer incoming telephone calls promptly, direct inquiries, and provide professional customer service to internal and external stakeholders.

  • Coordinate Communications: Transfer calls, page emergency personnel and campus staff, relay important messages, and connect visitors with appropriate employees.

  • Administer Visitor Management: Check in visitors, issue visiting permits, notify cottages of arrivals, and process funds or items left for students in accordance with established procedures.

  • Open and Close Facilities: Perform daily opening and closing procedures, including securing the building, managing keys, and transitioning telephone systems.

  • Coordinate Resource Scheduling: Assign vehicles from the carpool and assist with operational logistics to support staff needs.

  • Respond to Operational Needs: Handle emergency communications promptly and complete additional administrative or support duties as assigned by supervision.

  • Support Administrative Operations: Record maintenance requests, maintain a clean and organized reception area, support the efficient day-to-day operations of the front desk.


Work Schedule: This position works the first weekend of each month and requires, on average, 17 hours per month. Normal work hours are Saturdays and Sundays from 8 am to 4:30 pm. However, depending on workflow demands, additional hours or workday schedule changes may be required.


Physical Demands & Work Environment: The employee in this role will work in a front desk reception area within a residential facility. The employee must be able to sit for extended periods, frequently use hands and fingers for typing, data entry, etc., maintain visual acuity to review documents, monitor screens, and verify visitor information, and communicate clearly in person and over the telephone.
