Back Office

Position Summary / Purpose:

The Back Office Associate manages both full/partial back-office operations, including order processing, credit, shipping, invoicing, prepayment collection and customer service, while providing exceptional support to clients and customers.


Exemption Status:

NON-EXEMPT

Budget:

$18-$22hr


Reports To:

Back Office Manager (direct)

CEO (Indirect)


Essential Functions / Responsibilities:

 Proactively meet with clients to provide needs analysis to ensure clients satisfaction on a weekly basis.


 Partial Back Office/Prepayment Collections:

o Review client orders and reach out for prepayments for all declined and prepaid orders.

o Contact customers to obtain prepayments up to 5 attempts.

o Process and finalize prepayments/deposits and credit card authorizations.

o Apply Prepayments to invoices.

o Process credit memos and refunds as requested by the client.

o Become the liaison between the client and customer.

o Work with other Hilldun departments to ensure client satisfaction and streamlining of services.


 Full Back Office:

o Style entry

o Order processing

o Credit processing

o Establishing store terms

o Shipment processing

o Pick ticket generation

o Invoicing

o Payment application


Required Knowledge / Qualifications:

 1 to 3 years Luxury Wholesale or Retail Experience Preferred

 Must have excellent communication and client relations skills.

 Able to work with multiple personalities under all levels of management and work under pressure.

 Ability to prioritize and multitask.
