Job description

Senior Administrative Associate – Drug Product Development (DPD)What We Are Looking For / Primary Responsibilities
  • Provide dedicated executive support to the Executive Director, Head of Oral Product Development.
  • Manage complex calendars; schedule/prioritize meetings; resolve conflicts.
  • Arrange domestic/international travel; ensure compliance with Travel & Expense (T&E) policy; coordinate bookings, receipts, and Concur submissions.
  • Prepare/edit correspondence, presentations, reports, and pre-reads (MS Office); compile meeting materials and provide summaries.
  • Handle confidential/sensitive information with discretion and high integrity.
  • Operational support: coordinate meetings/events/webinars; manage agendas/logistics.
  • Track/report budgets; process SOWs/POs/invoices/contract renewals and partner with Finance.
  • Coordinate Workday actions (headcount, onboarding/offboarding, access); maintain Teams/SharePoint and records.
  • Order supplies/lab equipment; support project timelines/action items; coordinate IT/Facilities requests; support visitor registration.
Qualifications (Required/Preferred)
  • Associate’s degree required; Bachelor’s preferred (or equivalent experience); or 7+ years with HS diploma/GED.
  • 2+ years in executive/administrative support or project coordination in complex teams; corporate experience strongly preferred.
  • Proficient in Microsoft 365 (Outlook, Teams, SharePoint, Excel, PowerPoint); experience with Concur, Ariba/SAP, Workday strongly preferred.
  • Strong interpersonal/stakeholder management, organization/time management, vendor & budget process literacy, clear communication, high attention to detail.
