Position Overview

The VMS Coordinator plays a critical role in supporting daily staffing operations by managing VMS activity, coordinating provider assignments, assisting with contract administration, and serving as a key liaison between recruiters, credentialing teams, healthcare facilities, and internal leadership.

Key ResponsibilitiesVMS Management
  • Monitor Vendor Management System (VMS) platforms and distribute new job opportunities to the appropriate recruiting teams.
  • Submit, update, and manage provider profiles within VMS portals.
  • Track assignment statuses, compliance requirements, credentialing progress, and placement activity.
  • Maintain accurate and timely updates across multiple systems.
Assignment & Operations Support
  • Coordinate with recruiters, credentialing specialists, facilities, and operations teams to ensure assignments stay on track.
  • Communicate critical updates, missing documentation, and assignment changes.
  • Assist with timecard tracking, assignment extensions, credentialing follow-ups, and provider support.
Contract Coordination
  • Support the preparation and maintenance of Provider Contract Letters (PCLs) and Client Contract Letters (CCLs).
  • Verify assignment details, bill rates, pay rates, and contract terms for accuracy.
  • Ensure all contracts and supporting documentation are properly organized and maintained.
Communication & Team Collaboration
  • Serve as a central point of communication between recruiting, credentialing, operations, and leadership teams.
  • Help prioritize job orders and staffing requests.
  • Provide regular updates regarding VMS activity, assignment status, and operational needs.
  • Identify process improvement opportunities to increase efficiency and accuracy.
