What is a virtual receptionist?

Virtual receptionists are remote professionals who handle administrative and customer service tasks for businesses, such as answering phone calls, scheduling appointments, managing emails, and providing information to clients. They use digital tools and communication platforms to perform duties from a location outside the client’s office. This service helps businesses maintain a professional image, improve customer experience, and reduce overhead costs associated with hiring in-house staff. Virtual receptionists often support multiple clients and can offer services outside of regular business hours.

What does a virtual receptionist do?

A virtual receptionist provides remote customer service and administrative support for a company or organization. As a virtual receptionist, you typically work from home or another setting outside of a traditional office. Your responsibilities include answering and forwarding calls or emails, assisting customers or clients, and scheduling appointments. Other duties may include using office management software or communication technology to arrange schedules or meetings for your employer and communicate with staff members. You may also perform other administrative tasks as needed.

What are the key skills and qualifications needed to thrive as a virtual receptionist, and why are they important?

To thrive as a Virtual Receptionist, you need excellent verbal and written communication, strong organizational skills, and a high school diploma or equivalent. Familiarity with phone systems, scheduling software, and customer relationship management (CRM) tools is commonly required. Outstanding customer service, multitasking, and time management abilities set top performers apart in this role. These skills ensure efficient client interactions, smooth office operations, and a positive company image when working remotely.

How does a virtual receptionist typically collaborate with different departments or team members within a company?

As a virtual receptionist, you often serve as the first point of contact for clients and customers, which requires close coordination with various departments such as sales, customer support, and operations. You may relay messages, schedule appointments, and provide essential updates to the relevant teams to ensure smooth communication and workflow. Effective use of shared tools like CRM systems, instant messaging platforms, and scheduling software is common in this role, helping to keep everyone informed and organized. Building strong communication habits and maintaining clear records are key to successfully collaborating across remote or distributed teams.

How does a virtual receptionist work?

A virtual receptionist is a remote professional who manages incoming calls, emails, and messages for a business using phone systems, email, and communication software. They handle scheduling, customer inquiries, and administrative tasks from a remote location, often working flexible hours and using tools like VoIP and CRM systems.

How much is a virtual receptionist?

The cost of hiring a virtual receptionist typically ranges from $10 to $30 per hour, depending on experience, skills, and the provider. Some companies offer flat monthly rates or package deals for ongoing services, which can reduce overall expenses for businesses. Join a locally owned Great Clips salon team and help deliver a welcoming, comfortable salon experience. As a receptionist, you'll be the first point of contact for customers and a key support for stylists and salon management throughout the day.

If you enjoy helping people, staying organized, and working as part of a team in an energetic, supportive salon environment, this could be a great fit.

Ready to embark on an exciting educational journey? Our receptionist position is your gateway to a rewarding career as a top-tier stylist! Weekend availability is a must, and if you're currently enrolled in cosmetology or barber courses, you're an ideal match for us! Begin at $9/hour and witness your earnings skyrocket after licensure. Join us for this immersive learning experience! Apply now and let's turn your passion into professional expertise together!

Why you'll love it here

Great Clips salons give receptionists (aka salon coordinators) the structure and support to succeed in a customer-focused role:

  • Great, reliable hourly wage
  • Flexible scheduling with dependable retail hours
  • A team environment where salon staff help each other succeed
  • The opportunity to create positive connections with customers and teammates while supporting essential salon operations
  • Clear processes and training for front-desk responsibilities
  • Experience working in a professional salon setting
  • Opportunities to grow into other roles within the salon, if desired
  • Innovative salon technology, including Online Check-In and the Great Clips App

Employee offerings like medical benefits and paid time off (PTO) may be available at certain locations.

  • Strong communication and interpersonal skills
  • The ability to stay organized and manage multiple tasks
  • Reliability and a positive attitude
  • Comfort using basic technology and learning new systems
  • A team-first mindset and willingness to support salon operations

No cosmetology or barber license is required for the receptionist position. However, it can be a great opportunity for individuals exploring a future career in the industry to gain salon experience while working toward licensure. Current cosmetology and barber students are encouraged to apply.

About Great Clips

Sourced by ZipRecruiter

Great Clips, Inc. was established in Minneapolis, Minnesota by founders David Rubenzer and Steve Lemmon in 1982, a time when most people received haircuts in one of three ways: in full-service hair salons, from barbershops or at home. As a stylist and businessman, David could see that the industry was changing. Customers were looking for a hair salon service that could fit their busy lifestyles and desire for value. To be part of that change – rather than find themselves competing with it – David and Steve developed the then-radical concept of a walk-in haircare salon with weekend and evening hours, offering customers a select list of services, and providing benefits for stylists. After the founders opened several successful hair salons, Ray Barton joined David and Steve as an owner in March 1983. With Ray's help and expertise in franchising, the trio set about growing the Great Clips hair salon brand. That success continues through today.
