What is an executive receptionist?

Executive Receptionists are administrative professionals who manage front-desk operations, greet visitors, handle calls, and provide support to executives within an organization. They often coordinate meetings, manage schedules, and ensure efficient communication between executives and clients or staff. Their role is crucial in maintaining a professional and welcoming environment, often serving as the first point of contact for important guests and stakeholders.

Location: Dallas, TX

Schedule: Monday–Friday | 8:00 AM–5:00 PM

Work Arrangement: 100% On-Site

Salary: $65,000–$80,000 (DOE)

Benefits: 100% employer paid

Position Overview

Delta Dallas is partnering with a client in Dallas to find a polished, professional Executive Receptionist to serve as the first point of contact for their corporate office. This role blends true front-desk reception experience with broader administrative support.

This is an excellent opportunity for an experienced administrative professional who takes pride in creating a polished first impression and enjoys variety in their day.

Key Responsibilities

Front Desk & Office Support

  • Serve as the primary, in-person point of contact for the office, greeting and directing employees, visitors, and vendors with warmth and professionalism.
  • Answer, screen, and direct a multi-line phone system.
  • Maintain consistent front desk coverage throughout business hours.
  • Manage visitor check-in procedures and notify employees of arriving guests.
  • Coordinate conference room scheduling and meeting preparations.

Mail & Office Services

  • Receive, sort, and distribute incoming mail and packages.
  • Coordinate outgoing shipments through various carriers.
  • Maintain mail and package logs as needed.
  • Process incoming documents and other office materials.

Administrative Support

  • Provide administrative support across multiple departments.
  • Prepare documents, update spreadsheets, scan, file, and maintain records.
  • Assist with scheduling, calendar coordination, and office projects.
  • Order and organize office supplies.
  • Take on special projects and additional administrative duties as assigned.

Qualifications

  • 3+ years of true front-desk/receptionist experience is required. This role calls for someone who has worked a front desk, not administrative or customer service experience alone.
  • Additional experience in administrative, executive, or office support roles is a strong plus.
  • A demonstrated track record of tenure and stability in past positions, rather than a series of short-term stints.
  • Professional communication skills with a polished, service-oriented presence.
  • Strong organizational skills and sharp attention to detail.
  • Ability to multitask and prioritize in a fast-paced, professional office environment.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Comfortable learning new software and office systems.
  • Dependable, proactive, and able to work independently.
  • Ability to maintain confidentiality when handling sensitive information.
  • Ability to lift and carry office supplies or packages up to 30 pounds on an occasional basis.

  • Professional, polished, and dependable, with genuine front-desk/reception experience.
  • Organized, with strong follow-through and a history of tenure in previous roles.
  • A team player willing to jump in wherever needed.
  • Adaptable, eager to learn, and interested in growing their administrative career.
  • Someone who enjoys outstanding customer service and keeping an office running like clockwork.
