Job description

Pay Range: $25.00-$28.00 per hour (Pay information will vary depending upon relevant experience for the position)

FT 40 hours Monday-Friday 7:00am-3:30pm

GENERAL SCOPE: The Payroll Specialist has primary responsibility to accurately process employee pay weekly by reviewing and verifying employee timecards and hours worked. The Payroll Specialist will assist with data entry, coordinate and complete manual payroll and maintenance corrections, reset and monitor time clocks, and generate reports both ad hoc and as requested. This position coordinates year-end payroll tasks and provides employees support by responding to payroll inquiries, resolving paycheck discrepancies, verifying employment and income, and responding to garnishment judgements. Additional responsibilities include conducting and completing the termination process in the system of record and submitting responses to unemployment claims.

EDUCATION / QUALIFICATION: Associate degree in Human Resources, Accounting, Finance or in a related field of study or the equivalent of three (3) years of related experience required. Bachelor’s degree preferred.

ESSENTIAL FUNCTIONS:

  • Process weekly payroll for all pay groups.
  • Prepares information for electronic transfer of payroll funds for Finance Department.
  • Generate manual pay checks to correct payroll errors regarding miscalculated hours, incorrect overtime, etc.
  • Coordinate and verify all payroll changes for the next week’s payroll are completed by reviewing the weekly change report.
  • Maintain vacation, and paid time off (PTO) accruals, and audit as necessary.
  • Complete all aspects of Wage Assignments and Garnishments and Verifications.
  • Create reports from payroll and timekeeping systems as requested by supervisors or other departments.
  • Audit payroll regularly to identify changes and or discrepancies and provide outcomes to Director.
  • Coordinate year end payroll tasks including establishing the next year payroll calendar and completing the year end checklist for required activities in the system of record.
  • Develop and maintain a step-by-step procedure manual for payroll and timekeeping system for back up personnel in the event of absence.
  • Assist Directors/Supervisors with payroll problems and solutions by reviewing punch detail reports for missed punches, overtime hours, and non-working badges in the time clock.
  • Initiate the termination process in the system and complete all steps on the termination process checklist.
  • Respond to unemployment claims in the vendor-provided system.
  • Knowledge of all employee benefits (i.e., health, life insurance, dental), banking and credit union, payroll deductions, and general employee queries into similar areas.
  • Create service requests for the system of record as necessary.
  • Support learning for new users to payroll and timekeeping systems.
  • Provide customer service for human resources and payroll.
  • All other job duties as assigned.
