Job Title: Benefits and Payroll Coordinator
Department: People Operations
Position Type: Full-Time
FLSA: Non-Exempt


Job Summary:

Under the direction of the Director, Payroll and Benefits, the Benefits and Payroll Coordinator provides professional day-to-day management, coordination, and processing of Human Resources data, employee timekeeping, and benefits and is responsible for the processing of payroll.

This role develops appropriate relationships, prepares written communications, and assists with coordination and management of People Operations compliance work and other projects as directed. The Benefits and Payroll Coordinator serves as a consistent point of contact for employees to ensure exceptional service and support.

This position also serves as backup to the Leave of Absence Coordinator for leave administration.


Duties/Responsibilities:

HRIS Data Management

  • Manages and maintains position, compensation, time, benefits, time off, and payroll data in personnel records
  • Ensures employee completion of self-service data such as emergency contacts, direct deposit, and tax withholdings
  • Processes employee terminations, including related correspondence
  • Maintains organizational-level data for operational and compliance needs
  • Assists with HRIS security management
  • Assists in creating and managing reports
  • Acts as primary contact for HRIS vendor

Benefits Administration

  • Provides direct service to employees as the day-to-day contact for all employee benefits
  • Manages and processes benefit enrollments and changes
  • Manages COBRA program
  • Assists with Cafeteria Plan administration
  • Assists with Open Enrollment
  • Acts as liaison with benefit carriers and resolves issues

Time Reporting System

  • Provides direct service to employees as the day-to-day contact for time reporting
  • Assists with maintenance of the time reporting system
  • Manages time off bank assignments and changes
  • Assists with corrections to timesheets
  • Reviews system regularly to identify and resolve issues prior to payroll deadlines
  • Monitors approvals for timely completion

Payroll

  • Provides direct service to employees for payroll questions
  • Processes payroll each pay period ensuring accuracy of hours, changes, and deductions
  • Downloads and reviews pre- and post-payroll reports
  • Responsible for accurate W-2 reporting

Orientation & Training

  • Responsible for new employee and supervisor orientation related to payroll and benefits
  • Provides benefit education and highlights

Compliance

  • Assists with year-end payroll compliance
  • Assists with Cafeteria Plan compliance testing
  • Maintains required labor postings (hard copy and electronic)
  • Completes assigned People Operations compliance work plan items


Miscellaneous

  • Demonstrates commitment to diversity, equity, and inclusion

Physical Requirements:
While performing the duties of this job, the employee is required to stand, sit, walk, use hands, reach, talk, and hear. Occasionally may need to stoop, bend, and lift or move up to 20 pounds. Vision requirements include close, distance, peripheral, and depth perception, and ability to adjust focus.
