Job description

Diplomat Motors is looking for a dependable, detail-oriented Title Clerk to support the daily title and registration operations at our dealership. This role is critical to ensuring every vehicle transaction is processed accurately, titles are cleared and transferred on time, and our records stay clean and compliant.


We're looking for someone who is organized, consistent, and takes pride in accuracy. The right person will be comfortable managing a high volume of deals while following clear processes.

This is a great opportunity for someone with dealership title experience (or strong DMV/registration processing experience) who wants to grow in a fast-paced automotive environment.

Compensation:

$20 - $30 hourly


Responsibilities:

Title Processing & DMV Compliance

  • Process title transfers and registrations accurately and on time
  • Submit title work to the DMV and track status through completion
  • Ensure all title documents are compliant with state regulations
  • Monitor and clear any title defects, holds, or discrepancies


Deal Documentation & Verification

  • Review deal jackets to confirm all title-related documents are present and correct
  • Verify odometer statements, powers of attorney, and assignment signatures
  • Identify and resolve missing, incomplete, or incorrect paperwork before submission
  • Coordinate corrections with Sales, Finance, and the Deal Processor


Payoff & Lien Management

  • Process and track customer and trade-in payoffs
  • Request and confirm lien releases from financial institutions
  • Follow up on outstanding titles from auctions, wholesalers, and trade-in sources
  • Maintain accurate records of floored and titled inventory


Interdepartmental Coordination

  • Work closely with the Accounting team to ensure titles and costs align with posted deals
  • Communicate with funding sources, lenders, and the DMV to resolve title issues
  • Support the Deal Processor and Sales Admin on outstanding items or corrections
  • Flag aged titles, unresolved payoffs, or compliance risks to the Controller


Month-End & Reporting Support

  • Assist with the month-end title schedule cleanup and reconciliation
  • Maintain organized title files for audits, reporting, and compliance reviews
  • Identify and flag aged or problematic title items
  • Follow SOPs and help improve consistency in day-to-day title operations

Qualifications:
  • 1+ years of title, DMV, or dealership office experience preferred
  • Automotive dealership title processing experience is a strong plus
  • Familiarity with state title and registration requirements
  • Ability to stay organized and manage repetitive tasks with consistency
  • Comfortable working in a fast-paced environment with deadlines
  • Strong communication skills and a team-first attitude
  • Experience with Dealer Management Systems (DealerTrack experience is preferred)
