Job description

Job Summary: 

The Adaptive Driving Program (ADP) is seeking a temporary Administrative Assistant who will provide support to the program up to 10 hours a week, as needed. Applicants should demonstrate good organizational, interpersonal and communication skills.  

Compensation:  $22/hour 

Location: University of Pittsburgh, RST Department, 6425 Penn Avenue, Pittsburgh, PA, 15206 

Responsibilities: The temporary administrative assistant will contribute to the overall productivity and organization of the program by providing support to the staff and clients of the Adaptive Driving Program. The temporary administrative assistant will conduct a variety of activities including, but not limited to: 

  • Answering phone calls, emails and online inquiries; providing information about the Adaptive Driving Program and fielding questions 

  • Coordinate referral intake by contacting clients upon receipt of physician referrals, explaining the scheduling process, program requirements, and required documents 

  • Preparing and sending client intake forms, program materials, and related documentation through electronic and mailed correspondence 

  • Invoicing clients (private pay) or completing invoicing to funding sources for ADP service provided 

  • Tracking program financials including billing and income 

  • Performing bank deposits 

  • Tracking client referrals and monitoring required documentation, forms, and outstanding items that must be submitted prior to scheduling appointments 

  • Scanning, faxing, and emailing 

  • Using Microsoft Office  

Educational Requirements: Bachelor's Degree preferred, but will consider candidates with a High School Diploma/GED. 

Experience: Previous experience as an administrative assistant is preferred, but not required. Must have basic computer skills (Microsoft Office, email, internet) 

Successful candidates should be able to:  work without direct supervision, prioritize demands of a job on a daily basis, demonstrate flexibility, balance responsibilities, and demonstrate courtesy and sensitivity to clients.
