Job Summary We are seeking an organized and customer-focused Event Coordinator to support the planning, coordination, and execution of meetings, conferences, and special events. This role is responsible for managing day-to-day conference center operations, coordinating logistics, supporting clients throughout the event lifecycle, and ensuring a seamless and high-quality event experience. The ideal candidate will possess strong event planning, communication, and organizational skills, along with the ability to manage multiple priorities in a fast-paced environment. Key Responsibilities Support daily operations related to meetings, conferences, and special events. Serve as a point of contact for event inquiries, space availability requests, and client communications. Monitor and respond to event-related communications, including shared inboxes and incoming inquiries. Coordinate and distribute logistical reports, room signage, event materials, and operational documentation. Manage event supplies and inventory, including ordering and tracking materials as needed. Assist with planning and execution of larger and more complex events, providing support to senior event team members. Coordinate pre-event testing of audiovisual equipment and related technologies to ensure successful event delivery. Create and manage event registration portals and monitor registration activity. Coordinate guest list management and ensure event access requirements are communicated appropriately. Collect, organize, and distribute presentation materials and digital assets in preparation for meetings and events. Verify room setups, audiovisual requirements, technology configurations, catering arrangements, and other logistical details prior to events. Provide onsite event support to ensure a positive attendee and client experience. Collaborate with internal teams and external vendors to address logistical needs and resolve issues proactively. Coordinate hotel accommodations and ground transportation logistics, including availability tracking, rooming lists, and vendor communications. Track client feedback and provide insights to support continuous improvement initiatives. Maintain accurate records and documentation related to event planning and execution. Required Qualifications Intermediate experience in conference planning, event coordination, hospitality, client service, or a related field. Intermediate knowledge of event planning processes, logistics coordination, and customer service best practices. Experience working with audiovisual equipment, event technology, and related systems. Strong organizational, planning, and time management skills. Excellent written and verbal communication skills. Strong proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. Ability to manage multiple priorities and adapt effectively in a fast-paced environment. Strong attention to detail and commitment to delivering high-quality customer experiences. Ability to work independently as well as collaboratively within a team environment. Preferred Qualifications Bachelor’s degree in Hospitality, Marketing, Communications, Event Management, or a related field.
