Job description

Position Summary: The Payroll Clerk plays a critical support role within the Human Resources and Finance functions by assisting with the accurate, timely, and compliant processing of payroll for a growing, multi-state workforce. Reporting directly to the Payroll Manager, this position supports day-to-day payroll operations, maintains payroll data integrity, and serves as a backup to the Payroll Manager to ensure business continuity. The Payroll Clerk works extensively within ADP Workforce Now and collaborates closely with HR, A/P, Temp Agencies and site leadership to support payroll excellence as the company continues to expand.

Essential Duties and Responsibilities

· Payroll Processing Support

o Assist with the preparation and processing of weekly payrolls for approximately 900+ employees across multiple states.

o Verify timekeeping data and time off requests.

o Review employee payroll information, including new hires, terminations, pay changes, job transfers, and tax updates.

o Support calculation and validation of overtime, PTO payouts, bonuses, and retroactive pay adjustments.

· Backup & Business Continuity

o Serve as backup to the Payroll Manager during absences, peak processing periods, or special projects.

o Assist in executing payroll processing tasks to ensure payroll deadlines are met without disruption.

o Escalate complex payroll issues appropriately while independently resolving routine payroll discrepancies.

· ADP Workforce Now Support

o Support daily operations within ADP Workforce Now, including data entry and audits.

o Assist with payroll-related reporting for Finance and HR, such as labor reports, payroll summaries, and audit support documentation.

o Provide ADP time and attendance training for Managers.

· Compliance & Recordkeeping

o Maintain accurate and complete payroll records in compliance with federal, state, and local regulations.

o Assist with payroll audits, reconciliations, and general ledger tie-outs.

o Support compliance with wage and hour laws (FLSA), state-specific payroll requirements, and internal policies.

o Assist with quarter-end and year-end activities, including W-2 review and reconciliation support.


Employee Service & Collaboration

· Respond professionally and timely to employee payroll inquiries and concerns.

· Research and resolve payroll discrepancies, communicating resolutions clearly to employees and HR partners.

· Coordinate with Human Resources regarding employee data changes impacting payroll.

Process & Administrative Support

· Follow established payroll Standard Operating Procedures (SOPs) to ensure consistency and accuracy.

· Assist with documentation updates and continuous process improvement initiatives.

· Perform other payroll and administrative duties as assigned to support department operations.

Required Qualifications

Education

· High School diploma or equivalent required.

· Associate’s degree in Accounting, Finance, or Human Resources preferred.

Experience

· 1–3 years of payroll processing or payroll support experience preferred.

· Experience assisting with multi-state payrolls a plus.

Technical Skills

· Working knowledge of payroll systems; experience with ADP Workforce Now strongly preferred.

· Proficiency in Microsoft Excel and Microsoft Office Suite.

Knowledge & Skills

· Basic understanding of payroll concepts, wage and hour regulations, and payroll compliance.

· Strong attention to detail and accuracy.
