Records Management Clerk

OLH Technical Services, a subsidiary of Three Saints Bay, LLC, and a Federal Government Contractor industry leader, is seeking a Records Management Clerk to join our team in Martinsburg, WV.

Position Overview: General Clerk support shall include the administration of tasks normally associated with routine office work such as re-supplying paper to printers, fax machines and copiers; replacing toner cartridges; using the internal supply system to requisition replacements; filing and routing correspondence and records; using various computer applications including the USCG standard workstation suite of software and the Merchant Mariner Licensing and Documentation System (MMLD) system and participating in or helping to conduct training in work processes. The Contractor must evaluate tasks across the NMC and provide recommendations for efficiencies. The production of the (MMC) Merchant Mariner Credential is a system-wide effort that crosses several different NMC divisions.

Position Responsibilities:
  • The Clerk shall assist evaluators, Section Chiefs and Branch Chief with administrative support and data entry.
  • The Clerk shall adapt to changes driven by the Mission Management System
  • The Clerk shall provide records maintenance support including data entry for mariners who have applied for credentials and medical certificates and conduct inventory and data entry for older, previously accessed USCG records.
  • The Clerk shall perform a daily inventory and weekly usage analyses of mailing/shipping supplies at NMC to preclude a delay in any functions associated with the mail room and shipping and receiving.
  • The Clerk shall provide sufficient intra-office mail runs
  • The Clerk shall properly process and deliver all incoming mail, records, and parcels within two (2) hours of receipt
  • The Clerk shall receive, distribute, and store supplies appropriately and securely.
  • The Clerk shall ensure credentials that do not pass QA are returned to the designated Government reviewer for proper handling and destruction.
  • The Clerk shall enter all data from each Certificate of Discharge (CD) into the MMLD system IAW NMC MMS documentation.
  • Conduct independent research to respond appropriately to inquiries. This includes determining the appropriate research platform/forum, analyzing the data, and summarizing the results.
  • Demonstrate exceptional customer service skills, communicating effectively and professionally with internal and external customers

  • High School Diploma
  • Eligible to obtain a Public Trust Clearance

Compensation: $16.80/HR + $4.93 H&W
