Position Overview

The Tax Operations Manager leads our team of tax processors and front desk associates. This is a people-first leadership role: you'll train new processors, coach performance, distribute and balance workload across our busiest weeks, handle escalations, and build the day-to-day operational processes that keep our processing function running smoothly through every filing season.

You'll work closely with tax leadership across our offices, but this role is about leading people and operations, not preparing or reviewing tax returns. While tax policy and technical standards stays with our Tax Directors; you are responsible translating those policies into procedures to drive consistent execution, quality and client servicing across the tax operations team.

This is an in-office role based in Omaha, NE. 

Key Responsibilities

Team Leadership & People Management

  • Directly manage a team of tax processors and front desk associates spanning across multiple office locations.
  • Serve as the primary point of escalation for personnel matters, performance concerns, and day-to-day people issues across the processor and front desk population.
  • Conduct regular one-on-ones, performance check-ins, and team meetings to keep staff aligned, supported, and accountable.
  • Own schedules, hiring support, onboarding, and offboarding coordination for processor and front desk roles in partnership with HR.

Training, Coaching & Development

  • Design and deliver training programs for new processors and front desk staff, including technology, workflow, and firm-specific procedures.
  • Coach processors through our tiered progression path (Tier 1 Processor → Tier 2 Senior Processor → Tier 3 Lead Processor), building role pride and clear growth expectations at each level.
  • Identify high-potential staff and build individualized development plans, including staff being groomed for future roles.
  • Partner with the Systems Team to ensure training stays current with system and process changes.

Workload & Workflow Management

  • Manage day-to-day workload distribution across in-office and Centralized Tax Services (CTS) processors to balance capacity, deadlines, and seasonal surge volume.
  • Monitor work-in-progress (WIP) queues and turnaround times, and reallocate resources proactively as bottlenecks emerge.
  • Coordinate front desk coverage and workflow across all office locations, ensuring consistent client-facing service standards.
  • Escalate and help resolve complex processing issues, working closely with the Workflow Control Lead on quality control and escalation flow.

Operational Process & Standards

  • Define, document, and continuously improve the operational processes processors and front desk staff follow day to day — intake, assembly, delivery, and front-office procedures.
  • Ensure consistent application of tax and accounting procedures across all offices, adapting for local nuances without compromising standardization.
  • Partner with key stakeholders to ensure operational processes support and never conflict with firmwide technical and system standards.
  • Support the rollout of new tools, workflow changes, and process documentation ahead of each filing season.

 

What We’re Looking For

 

  • 3+ years of experience leading a team in a tax, accounting, or high-volume processing environment.
  • A track record of training, coaching, and developing staff — you genuinely enjoy helping people grow.
  • Strong organizational skills and comfort managing multiple priorities and deadlines at once.
  • Clear, direct communication style; you can give feedback and resolve conflict constructively.
  • Ability to thrive in a fast-paced, deadline-driven environment, particularly during tax season.
  • Willingness to work on-site in our Omaha office.

 

Ideal Candidate Will Have

  • Experience with CCH Axcess Tax.
  • Experience with CCH Client Collaboration or document-exchange portal tools.
  • Background managing teams across multiple office locations.
