Job description

About Warp
Warp is the AI-native Employee Management Platform for ambitious companies. Our platform includes HRIS, payroll, IT, benefits, tax compliance, and more - all built from scratch on an AI-native architecture from day 1.
Warp embeds itself into every part of a company's people operating layer, we process over half a billion $ annually in payroll, on track to grow to $2B.
Legacy vendors in our space built their businesses by profiting from complexity. Warp is built from day one for AI to be the primary operator, not a feature. Every advance in LLM capability widens our lead.
We hire people who ship constantly, own outcomes, and care about craft. If you want to build something that automates an entire category of core work, not just another point solution, this is the place.
We've raised over $85M from top investors like Ashton Kutcher/Sound Ventures, Y Combinator, founders of Dropbox, Replit, SV Angel, and Homebrew Capital. Built by an obsessive team from MIT, Ramp, Brex, Google, Dropbox, Apple, and more.
About The Role
We're looking for a detail-oriented Tax Operations Specialist to join our payroll tax compliance team. You'll directly report to our Tax Operations Lead, becoming the first line of defense when customers receive payroll tax notices. This role combines technical tax expertise with exceptional customer service - you'll investigate issues, communicate with tax agencies, and guide founders through resolutions with clarity and confidence.
This is an excellent opportunity for someone with 2-4 years of payroll tax experience who wants to deepen their multi-state compliance expertise while helping build scalable processes at a fast-growing startup.
What You'll Do
  • Notice Resolution & Customer Support: Decode federal, state, and local payroll tax notices, translate tax jargon into plain English, and guide founders through resolution via email, Zoom, and Pylon
  • Agency Communication: Draft letters, file responses, and represent Warp in conversations with IRS, state, and local tax agencies to resolve account discrepancies, penalties, and registration issues
  • Tax Operations: Process state tax registrations, assist with jurisdiction setup across all 50 states, and support quarterly filings (Form 941 and state equivalents)
  • Documentation & Tracking: Maintain detailed case notes in Linear and Notion, track tax issues using project management platforms, and perform tax reconciliations
  • Process Improvement: Flag compliance trends and process gaps, turn recurring issues into FAQs and Founder Guides, and help improve workflows through automation initiatives
  • Cross-Functional Collaboration: Partner with Customer Support, Engineering, Product, and third-party administrators to test new tools and address client tax questions
  • Year-End Support: Assist with end of year preparation and other annual compliance processes
What You Need
  • Bachelor's degree in Accounting, Finance, Business, or related field (or equivalent experience)
  • 2-4 years of payroll or payroll tax experience
  • Strong attention to detail and exceptional organizational skills - you rigorously track every deadline, document, and follow-up
  • Excellent written and verbal communication skills with ability to translate complex tax concepts for non-technical audiences
  • Comfort juggling high notice volume and shifting priorities while maintaining exceptional customer experience
  • Experience with project management tools (Jira, Linear) and collaboration platforms (Slack, Zoom, Notion)
  • Proficiency with Google Sheets for data analysis and reconciliation
  • Experience with Mastertax or similar tax filing platforms
  • Comfortable making phone calls to tax agencies and researching compliance requirements
  • Willingness and openness to learn new things daily
Nice To Have
  • Multi-state payroll tax compliance experience (NY and CA experience a bonus)
  • Experience with penalty waiver processes and agency negotiations
  • Active CPA license
  • Background in high-growth SaaS or payroll/HR startup
  • Familiarity with third-party administrator workflows
  • Interest in process improvement and automation

What We Offer
  • Direct mentorship from experienced tax operations professionals
  • Opportunity to own end-to-end tax compliance processes
  • Exposure to emerging tax tech and AI tools
  • Collaborative team environment with clear career growth path
  • Competitive salary and benefits

Benefits at Warp:
  • 100% Health Coverage: Comprehensive medical, dental, and vision plans for you and your dependents.
  • 401(k) Matching: Start investing in your future from day one.
  • Unlimited PTO: We offer flexible PTO, meaning you're trusted to take the time you need to recharge while balancing your responsibilities and team commitments.
  • Commuter Benefits: Pre-tax commuter benefits for your daily trip to our NYC office.
  • Catered Lunch Daily: Great food, every day, on us. No meal prep, no decision fatigue.
  • Quarterly Offsites: Beautiful locations to connect as a team. Past locations include Spain and Catskills.

Warp is based in New York City, and most of our team works together in-office 5x per week. Please refer to the top of this page for this position's hiring location and working model.
