About this Role

At QISG, the Talent Acquisition Coordinator will serve as a key support partner to the Talent Acquisition (TA) team, with a primary focus on coordinating the interview process and candidate experience. This role is responsible for scheduling interviews across multiple time zones, arranging candidate travel logistics, and ensuring a seamless, professional experience from first contact through offer. A small portion of time will be dedicated to supporting intern program scheduling in partnership with HR. The ideal candidate is highly organized, proactive, and thrives in a fast-paced, people-focused environment.

What You'll Do
  • Partners closely with TA recruiters and hiring managers to coordinate and schedule phone screens, virtual interviews, and on-site interviews across multiple time zones and locations
  • Manages end-to-end candidate travel arrangements including flights, hotels, and ground transportation in accordance with company travel policy
  • Serves as a primary point of contact for candidates throughout the interview process, providing timely communication and a positive candidate experience
  • Maintains accurate and up-to-date candidate records and scheduling activity within the Applicant Tracking System (ATS)
  • Coordinates intern program interview scheduling on a limited basis, supporting the TA team during peak recruiting cycles
  • Prepares and distributes interview itineraries, confirmation communications, and relevant materials to candidates and interview panels
  • Assists with drafting and sending TA-related communications including interview invitations, scheduling confirmations, and logistics instructions
  • Responds to general candidate and hiring manager inquiries; escalates complex or sensitive matters to the appropriate recruiter or TA Manager
  • Supports continuous improvement of scheduling and coordination workflows to increase efficiency and enhance the candidate experience
  • Adheres to internal standards, policies, and procedures; maintains confidentiality of all candidate and personnel information
  • Performs special projects and completes other duties as assigned or requested
What You'll Bring
  • Bachelor's degree in Human Resources, Business Administration, or related field
  • Minimum of 1-year Human Resources administrative experience
  • Prior experience coordinating candidate travel or supporting high-volume recruiting
  • Proficiency with Microsoft Office; Outlook, Teams, Word, PowerPoint, and Excel
  • Experience working with an applicant tracking system
  • Proficiency with Microsoft Office Suite
  • Exceptional organizational skills and attention to detail
  • Strong verbal and written communication skills with a professional, candidate-friendly tone
  • Proven ability to manage competing priorities and meet tight deadlines
  • Ability to act with integrity, discretion, and confidentiality
