Front Desk Receptionist | Spa Soak
Location: Bucktown/Wicker Park, Chicago
Position: Front Desk Receptionist
Schedule: 10–20 hours per week
Availability Required: Thursday, Friday, Saturday, and potentially every other Sunday
About Spa Soak
Located in the heart of Chicago's Bucktown/Wicker Park community, Spa Soak is a holistic wellness spa dedicated to creating a relaxing, elevated, and personalized experience for every client. Since 2005, we have provided a variety of massage, skincare, and wellness services designed to help our clients feel restored, cared for, and their best.
We are looking for a warm, bubbly, energetic, experienced, and personable Front Desk Receptionist who genuinely enjoys working with people and understands that the front desk sets the tone for the entire client experience.
You will be the first and last point of contact for many of our clients, so we're looking for someone who naturally makes people feel welcome, is confident communicating with clients, and can create a positive atmosphere while maintaining professionalism.
What You'll Do
Client Experience

  • Warmly greet every client upon arrival and create a welcoming, positive experience.
  • Check clients in and out and ensure they have everything they need before and after their services.
  • Answer questions about Spa Soak's services, packages, pricing, policies, promotions, and memberships.
  • Listen to clients' needs and make thoughtful service recommendations when appropriate.
  • Build genuine relationships with returning clients and provide personalized, attentive service.
  • Handle client concerns, questions, and scheduling issues professionally and calmly.
  • Maintain a warm, peaceful, and inviting atmosphere throughout the spa.
Scheduling & Front Desk Operations

  • Answer incoming phone calls, text messages, emails, and other client inquiries promptly and professionally.
  • Schedule, reschedule, and cancel appointments accurately using our booking system.
  • Confirm appointments and communicate important appointment details and policies to clients.
  • Manage the daily appointment schedule and communicate changes or scheduling concerns with therapists and estheticians.
  • Monitor the schedule throughout the day and help keep services running smoothly and on time.
  • Process client payments, tips, gift cards, and other transactions accurately.
  • Maintain accurate client records and protect client confidentiality.
  • Assist with ClassPass and other third-party booking platforms as needed.
  • Handle late cancellations, rescheduling requests, and no-shows according to Spa Soak policies.
Opening & Closing

  • Open the spa according to established procedures and ensure the front desk and spa are fully prepared for the day's appointments.
  • Complete closing responsibilities, including securing the front desk/spa, completing end-of-day procedures, and ensuring the space is ready for the following day.
  • Keep the reception, waiting area, retail area, and other front-of-house spaces clean, organized, and presentable throughout the shift.
Team Support

  • Communicate effectively with massage therapists, estheticians, and management throughout the day.
  • Help the team stay informed about schedule changes, client preferences, special requests, and other important information.
  • Assist with laundry, restocking, light cleaning, and other front-desk/operational tasks when needed.
  • Be willing to jump in and help wherever needed to support the overall operation of the spa.
  • Maintain a positive, respectful, and team-oriented attitude.

Qualifications
  • Previous customer service, hospitality, salon, spa, wellness, or front desk experience preferred.
  • Previous spa or salon reception experience is a plus.
  • Experience with booking/scheduling software is preferred.
  • Strong verbal and written communication skills.
  • Basic computer and technology skills.
  • Ability to learn Spa Soak's booking system, policies, services, and procedures quickly.
  • Must be comfortable handling payments and confidential client information.
  • Must be able to work independently and as part of a team.
Schedule & Availability
This is a part-time position averaging 10–20 hours per week.

Required availability:

  • Every Thursday

  • Every Friday

  • Every Saturday

  • Potentially every other Sunday

Weekend availability is required for this position.
