Pre-Litigation Personal Injury Case Manager

Full-Time | In Office 

Hometown Recruiting is assisting a personal injury law firm seeking an experienced Pre-Litigation Case Manager who can independently manage a high-volume caseload while providing responsive, compassionate service to clients.

This opportunity is ideal for someone who understands that personal injury case management is about more than maintaining files and tracking deadlines. Clients are often navigating physical pain, financial concerns, medical treatment, and an unfamiliar legal process. They need a case manager who can create clarity, communicate consistently, and keep their case progressing.

The right candidate will have personal injury experience, confidence managing approximately 120–150 cases independently, and the ability to balance client care with accurate documentation and reliable follow-through. Bilingual skills are highly preferred.

As a Pre-Litigation Case Manager, you will serve as an important connection between clients, attorneys, medical providers, insurance representatives, and other involved parties.

Your organization and communication will help clients feel informed rather than overlooked. Your follow-through will help attorneys remain prepared, records stay current, and cases move efficiently toward resolution.

Success in this position means managing a demanding caseload without losing sight of the individual person behind each file.

What You’ll DoPre-Litigation Case Management
  • Independently manage approximately 120–150 personal injury cases
  • Support matters involving motor vehicle accidents, dog bites, slip-and-fall incidents, and other personal injury claims
  • Guide cases through the pre-litigation process from intake or assignment through settlement or transition to litigation
  • Maintain accurate case notes, records, documents, and status updates
  • Monitor case activity, treatment progress, insurance information, and outstanding documentation
  • Identify missing information, potential delays, and issues requiring attorney attention
  • Follow established procedures while exercising sound judgment and initiative
  • Keep attorneys informed of important case developments
  • Help ensure cases continue progressing toward timely and appropriate resolution
Client Communication and Support
  • Serve as a consistent and professional point of contact for clients
  • Provide regular case updates and explain administrative next steps clearly
  • Respond to client calls, messages, and questions promptly
  • Communicate with empathy while maintaining appropriate professional boundaries
  • Follow up with clients regarding medical treatment, appointments, documentation, and changes in condition
  • Help clients understand what information is needed and why it is important
  • Escalate requests for legal advice or significant case concerns to the responsible attorney
  • Communicate with clients in an additional language when bilingual capabilities are available
Medical and Insurance Coordination
  • Communicate with medical providers to request records, bills, treatment information, and supporting documentation
  • Monitor client treatment and follow up regarding gaps or changes in care
  • Communicate with insurance carriers, adjusters, and other involved parties
  • Track insurance claims, coverage information, and applicable policy details
  • Maintain organized records of medical treatment, expenses, damages, and correspondence
  • Assist with identifying and tracking liens or outstanding balances
  • Ensure important documents are obtained, reviewed, and saved to the appropriate case file
Settlement and Case Resolution Support
  • Gather the records and documentation needed to evaluate and prepare claims
  • Assist with organizing demand-package materials for attorney review
  • Track settlement discussions and related follow-up
  • Communicate administrative updates to clients under attorney direction
  • Help coordinate the collection of final bills, lien information, and settlement documentation
  • Prepare files for closing or transfer to the litigation team when appropriate
  • Confirm that required documentation and case notes are complete before transition or resolution
Case Management Technology
  • Use case management software throughout the workday to document activity and maintain accurate records
  • Enter case notes, tasks, deadlines, communications, and status updates consistently
  • Generate reports and monitor outstanding assignments
  • Follow established naming, filing, and documentation procedures
  • Maintain current and accessible electronic case files

The firm uses GrowPath/Jove. Experience with comparable platforms such as Clio, Filevine, Litify, or another legal case management system is also valuable.

What Will Help You Succeed
  • Prior personal injury case management experience is required
  • Experience handling motor vehicle accidents, dog bites, slip-and-fall claims, or similar personal injury matters
  • Demonstrated ability to independently manage approximately 120–150 active cases
  • Strong client-facing experience
  • Experience using legal case management software for daily workflow and recordkeeping
  • Understanding of the pre-litigation personal injury process
  • Ability to communicate professionally with clients, attorneys, medical providers, insurance representatives, and other parties
  • Excellent organization, prioritization, and time-management skills
  • Strong attention to detail and commitment to accurate documentation
  • Ability to manage a high-volume workload while maintaining responsive client service
  • Sound judgment regarding when to act independently and when to involve an attorney
  • Ability to handle confidential and emotionally sensitive information appropriately
  • Bilingual communication skills are highly preferred
