The Senior Leave Management Coordinator is responsible for the end-to-end administration, compliance, and continuous improvement of the organization’s leave of absence programs. This role serves as a subject matter expert on leave laws (FMLA, ADA, state/local regulations) and partners closely with HR, Benefits, Legal, and business leaders to ensure consistent, compliant, and employee-focused leave management processes.

Position Responsibilities may include:

• Oversee the full lifecycle of employee leave cases from intake through return-to-work, ensuring timely and compliant execution

• Lead administration of FMLA, ADA, PLOA, MLOA, and related leave/disability programs

• Manage all ADA accommodation intakes: gather documentation, initiate ADA files, collect initial information, and hand off to the ADA Specialist.

• Track and manage ADA-related cases in HRIS system, appropriate spreadsheets, and employee files.

• Coordinate and manage return-to-work (RTW) cases with permanent restrictions.

• Handle leave as accommodation for employees’ ineligible for FMLA.

• Communicate with FMLA team regarding non-ADA cases after the interactive process is completed.

• Identify trends and recommend process improvements, automation, and efficiencies

• Utilize HRIS/reporting tools to analyze leave volume, duration, and compliance risk

• Drive consistent documentation and communication standards

• Support a smooth and timely return-to-work process

• Mentor or provide guidance to coordinators or junior staff

• Review cases received from the risks department that have been denied or deemed permanent, and employees need accommodation.

• Send benefit termination notices to employees and the Benefits Team as required.

• Maintain accurate tracking systems (HRIS system, spreadsheets, employee files) for ADA, PWFA, WC and leave-related cases.

• Ensure all tickets and email communications are updated within a 48-hour turnaround window.

• Send reminders to ADA employees that need to recertify and employees that are pending documentation.

• Send reminders to employees with short-term restrictions that need to be recertified.

• Coordinate religious accommodation intakes and initiate the review process.

• Update HRIS systems for leave cases (ADA, PWFA, Religious) and send out communications.

• Coordinate Pregnant Workers Fairness Act (PWFA) accommodation intakes and initiates the review process.

• Review any workplace accommodation with ADA Specialist to start interactive processes.

• Coordinate employee lactation room access, scheduling, and usage.

• Respond to initial leave requests within five business days across all intake channels and conduct in-person leave intakes as scheduled.

• Perform other duties and projects as needed to support business needs.

Experience:

• 4+ years of leave administration experience, preferably in a high-volume manufacturing environment

• Leave administration experience in a large company highly preferred

Education/Certification:

• High school diploma or GED equivalent

• Bachelor’s degree preferred in HR, business or related field

• Professional certifications, SHRM or leave/benefit certification a plus
