Job description

Description: The Sr Executive Assistant expertly manages and supports a Sr. Executive Vice President and or Executive Vice President. The Sr Executive Assistant anticipates and independently address' opportunities by staying align with the Executives and their priorities and supports organizational growth. The Sr Executive Assistant understands the importance of remaining agile and keeping pace with the needs of the Sr EVP and or EVP. This role provides complex administrative support by planning and scheduling complex calendar(s) with limited or no consultation, resolving calendaring conflicts. Independently prioritize, plan, coordinate and /or oversee logistics, travel arrangements, visits, and project work with individuals and entities internal and external.

Typical Duties:

  1. Assists in carrying out a variety of specific and routine work projects; making decisions within the scope of assigned authority.

  2. Receives and analyzes executive's incoming e-mails and phone calls for prioritization and potential independent action.

  3. Provide a bridge for smooth communication between the SEVP and EVP and internal departments; demonstrating leadership to maintain credibility, trust, and support with Executive Team.

  4. Develops, Initiates, oversees, coordinates, and follows through with administrative projects and reports involving the preparation, compilation, and distribution of administrative documents and presentations to ensure deadlines are met by Executives.

  5. Provides exceptional customer service in conversations, follow-up and follow through; responds in a timely manner for any requests, phone calls and emails; exercises attention to detail for information given and received.

  7. If necessary and applicable this position provides support to the CEO in the absence of the Executive Office Manager.

  8. Responsible for keeping all related printed and electronic documents as it relates to the Board of Managers including the board portal that is utilized by executives and the board, current, and secure/confidential as needed.

  9. Presents and reviews ideas and drafts business documents ensuring high quality work products.

  10. Assists in developing organizational charts, business documents, and various other reports.

  11. Preparation and coordinates various onsite and offsite meetings, prepare agendas, distributing meeting invitations, securing meeting room confirming attendance, coordinating catering, recording and transcribing minutes for executive review.

  12. Arrange travel for conference's and or speaking engagements includes hotel, car rental, and flights. Follow through with any reimbursements that are incurred during the travel.

  13. Performs other related duties as assigned.
