Job description

Executive Assistant

This is a senior Executive Assistant role supporting one of By Landmark's founding Principals. You will be the person who makes leadership run — managing a complex calendar, anticipating what's needed before it's asked for, and operating with the discretion and judgment that come from real experience in high-level executive support.

You will work in close partnership with the other Principal's Executive Assistant and the broader support team to keep executive operations running smoothly across the portfolio. Your home base is our Plainfield, NJ office, and you will travel to Landmark properties as the work requires. Some personal support for the Principal, primarily related to travel and business-adjacent functions, is part of the role.

The right person for this job is polished but not precious, organized but adaptable, and confident enough to take initiative without needing to be told when to step in.

Executive Support & Calendar Management
  • Own and manage the Principal's calendar — resolving conflicts, shifting priorities, and protecting time with judgment and flexibility
  • Draft, edit, and prepare correspondence, presentations, reports, agendas, talking points, bios, and professional documents with a high level of accuracy
  • Manage email and communications flow, ensuring timely responses and clear prioritization
  • Prepare materials and coordinate logistics for meetings, appointments, executive gatherings, and travel — including itineraries and accommodations for both business and personal needs
  • Handle expense tracking, invoice coordination, and administrative financial tasks
Coordination & Operations
  • Partner with the other Principal's Executive Assistant to ensure seamless day-to-day executive operations
  • Maintain the Plainfield, NJ Home Base office — organized, prepared, and reflective of the Landmark brand
  • Support operational and administrative needs across By Landmark venues, traveling to properties as needed
  • Coordinate social gatherings, philanthropic initiatives, company functions, and family-related appointments with discretion
  • Plan and execute executive meetings, retreats, and company events end-to-end — logistics, preparation, and follow-up
Projects & Relationships
  • Oversee special projects and initiatives from kickoff through completion — tracking progress, flagging issues before they surface, and providing timely updates
  • Maintain strong working relationships across departments, venues, vendors, and external partners
  • Handle highly sensitive and confidential information with absolute discretion
Who We're Looking For Required
  • 5+ years of experience in executive assistant or senior administrative support roles
  • Exceptional organizational skills and attention to detail — you catch things others miss
  • Strong written and verbal communication, including editing and document preparation
  • Demonstrated ability to manage confidential information with discretion and integrity
  • Proficiency with Microsoft Office Suite (Word, PowerPoint, Outlook, Excel) and Adobe Acrobat
  • Flexibility to work beyond standard hours, including evenings and weekends, consistent with the rhythm of a hospitality organization
  • Valid driver's license and ability to travel between venues
Preferred
  • 7+ years of executive support experience, ideally supporting C-suite or principal-level executives
  • Background in hospitality, lifestyle, luxury, or fast-paced service environments
  • Experience coordinating events and managing logistics for executive functions
  • Familiarity with accounting basics, expense management, and financial reporting
  • Bachelor's degree

Scope & Logistics
  • Based at the Plainfield, NJ Home Base office, with regular travel to Landmark properties across New Jersey and Eastern Pennsylvania
  • This role operates on hospitality time — flexibility for evenings, weekends, and event schedules is part of the job, not the exception
  • Physical requirements include extended desk work, venue visits, occasional lifting up to 25 lbs (event supplies, presentation materials), and working across office, restaurant, and event settings

Compensation & Benefits
  • Base salary: $65,000 – $85,000, commensurate with experience
