Executive Assistant (Luxury Residential Construction)

Pay: $70,000 $85,000 per year (based on experience)

Position Overview

Buildlabs Custom Homes is actively seeking a highly organized, loyal, and dependable Executive Assistant to support company ownership and administrative leadership.
This is a critical role within the organization. You will work directly with ownership and senior administrators, managing schedules, communication, and operational flow across the business. This position requires discretion, urgency, and the ability to manage multiple priorities without constant oversight.
Candidates must be willing to relocate or commute to Bridgehampton, NY on a daily basis.

Key Responsibilities

  • Manage executive calendars with precision, including scheduling, prioritization, and conflict resolution
  • Monitor and manage executive email inboxes, including drafting responses, prioritizing communications, and ensuring timely follow-up
  • Coordinate meetings, prepare agendas, and ensure follow-through on action items
  • Prepare and organize documents, reports, and internal communications
  • Track projects, deadlines, and deliverables across multiple workstreams
  • Serve as a professional point of contact for clients, staff, and vendors
  • Coordinate all business-related travel, including flights, accommodations, transportation, and detailed itineraries
  • Maintain highly organized digital and physical filing systems
  • Support daily office operations and administrative processes
  • Anticipate leadership needs and take initiative to keep operations moving efficiently

Qualifications & Requirements

  • Minimum 3+ years of experience supporting executives with calendar management, email management, and scheduling
  • Demonstrated experience coordinating business travel (flights, accommodations, itineraries)
  • Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Proven ability to multitask, stay organized, and execute in a fast-paced environment
  • Clear, professional communication skills when working with executives, clients, and vendors
Preferred:

  • Experience in construction, architecture, or a related industry
