Job description

Job Description
Senior Executive Assistant to the President & CEO
Some executive assistants manage calendars. This one manages a life, a business, and a legacy. If that distinction resonates with you, keep reading.
About the Role
Aspen Associates Group has been retained on a confidential basis to identify an exceptional Executive Assistant for a highly respected, privately held firm in the private investment and development field, headquartered in the Pontiac, MI area. The company is led by two high-net-worth principals whose personal and professional lives are deeply intertwined. They are looking for a true partner, not support staff.
This is a rare opening created by an internal transition. The Executive Assistant role has been thoughtfully defined, is highly valued by leadership, and carries real influence over how two senior executives operate every day.
The scope of this Executive Assistant position spans the full spectrum of executive and personal support: board-level correspondence, complex domestic and international travel, household and vendor management, relationship tracking, and proactive calendar architecture. No two days are alike. That is the point.
What Sets This Role Apart
This Executive Assistant position blends high-level business operations with genuine personal trust. You will work alongside executives who are engaged, appreciative, and loyal to the people who perform at this level. The role carries exposure to private investment activity, real estate development, philanthropic initiatives, and civic engagement, all of which require discretion, judgment, and a proactive mindset.
Key Responsibilities
  • Manage complex executive and personal calendars with a proactive, priorities-first approach
  • Coordinate domestic and international travel including commercial and private aviation, accommodations, and detailed itineraries
  • Prepare and manage executive correspondence, presentations, real estate documents, and board materials
  • Oversee personal and household management including bill payment, insurance programs, vendor coordination, and service contracts
  • Manage vehicle registrations, property logistics, and lifestyle scheduling across multiple residences
  • Serve as a primary point of contact for internal stakeholders, external partners, investors, and personal relationships
  • Maintain and manage CRM and contact databases with consistent follow-through
  • Plan and coordinate business functions, private events, charitable initiatives, and civic engagements
  • Draft personal correspondence including thank you notes, congratulations, and condolence letters on behalf of the principals
  • Handle all responsibilities with the highest level of confidentiality and professionalism
What You Bring
The ideal candidate for this Executive Assistant role has significant experience supporting C-suite executives in a fast-paced, high-expectation environment. You do not wait to be asked. You anticipate, execute, and communicate clearly when it matters. You are as comfortable coordinating a private dinner for forty as you are managing a last-minute international itinerary or renegotiating a service contract on behalf of your principal.
  • Significant C-suite executive support experience required; high-net-worth or family office background a strong plus
  • Demonstrated ability to manage professional and personal support responsibilities simultaneously
  • Exceptional organizational and multitasking skills with strong attention to detail
  • Outstanding written and verbal communication abilities
  • High degree of emotional intelligence, discretion, and professionalism
  • Proactive, solutions-oriented mindset with the ability to exercise independent judgment
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and CRM platforms
  • Bachelor's degree or equivalent experience required
Compensation and Details
  • Base salary: $85,000 to $100,000 depending on experience
  • Full benefits package including health, PTO, and retirement
  • Full-time, exempt, in-person position based in Pontiac, MI
  • Occasional evening and weekend availability required
  • Role is open immediately

Selection Process
This search is conducted exclusively through Aspen Associates Group. Candidates will participate in an initial conversation with our team, followed by structured interviews with the company's leadership. Finalists will complete a behavioral assessment. Reference verification, background screening, and drug testing are required prior to an offer.
How to Apply
Inquiries and referrals are welcomed and held in strict confidence. This role is active and will move quickly for the right candidate.
