Job description

  • Position Summary
    • Oversees all schedules and orders management processes within the Central Scheduling Department scope of service. Scheduling Supervisor will work with the department Manager regarding process flow improvements to deliver a seamless patient experience. Complete and maintain co-worker schedules making changes according to the needs of the business and patient flow, volumes, and financial status. Scheduling Supervisor will work with manager to set and achieve department goals, monitor co-worker productivity, quality, and track department goals. Align new co-workers with schedule for training, and ensure for appropriate follow-up procedures are in place for co-worker education. Assist in monitoring co-worker attendance, tardy, and vacation in compliance with corporate attendance policy. Scheduling Supervisor will collaborate with the manager during the new hire process, evaluating performance, and administering employee corrective action. Participate in system upgrades and enhancements.

    • Bachelor's of Business Administration - Preferred
  • Experience
    • 3-5 Years Scheduling, patient access, registration, or pre-certification in a health care environment - Required
    • 1-2 Years Supervisory experience in a health care environment - Preferred
    • Related experience at a level that contributes to the critical decision making process of the organization. Knowledge of regulatory and third party payer requirements to ensure compliance is required.

  • Core Job Functions
    • Ensures ongoing modifications and changes needed to support departmental functions related to scheduling. Utilizes appropriate resources within the institution, division and department to provide consultation education, technical or informational services as needed to self, staff and other personnel. Ensures reports and data is consistent with customer requirements and is current and accurate.
    • Takes the lead role to facilitate division meetings and maintain a cooperative working environment with all Physicians and their office staff.
    • Collaborates with the department Managers and Physician Relations in developing strategies. In conjunction with IS, customizes dictionaries, establishes appropriate security level access by job function. Ensures all staff are trained and developed in all aspects of operations to optimize operational efficiency and effectiveness.
    • Completes evaluations on time, maintain retention, meet or exceed unit established nationally certified certification, and reach annual assessments according to standards.
    • Reviews quality and quantity activity using available reporting tools. Initiates appropriate co-worker counseling and re-training when necessary. Provides ongoing technical training.
    • Assesses training needs and to provide training to all co-workers, as needed. Maintains all co-workers training records up to date.
    • Reviews and approves/denies all co-worker PTO requests. Maintains adequate staffing levels in all areas. Maintains open communication with co-workers regarding call-ins.
