Job description

The ON-CALL Reprographic Center Production Specialist plays a key role in delivering high-volume, high-quality document output for internal stakeholders and external clients. This hands-on position involves operating digital production presses, scanners, de-format printers, finishing/bindery equipment, and mail-handling systems. It also includes administrative responsibilities such as file preparation, job tracking, inventory management, and shipping coordination. The ideal candidate is highly detail-oriented, technically adept, and comfortable working in a deadline-
driven environment. While we can train on specific equipment, prior experience with comparable digital press systems and print production workflows is required.
This is an ON-CALL position.
Key Responsibilities
  • Operate high-speed digital color presses (e.g., Canon imagePRESS, Konica Minolta) Scantron Survey Scanner, and wide-format printers.
  • Utilize finishing and bindery equipment such as power cutters, folders, coil binders, booklet makers, envelope inserters, and tabbers.
  • Perform daily maintenance, cleaning, and basic troubleshooting to ensure uptime of all equipment.
  • Prepare and manipulate print-ready files (PDFs, InDesign, etc.) to ensure proper sizing, bleed, and layout.
  • Load and manage media types, monitor job queues, and confirm output quality throughout the print run.
  • Consult with internal clients to review project specs and advise on file setup or finishing options.
  • Lift and transport paper stock or completed jobs up to 50 lbs as needed.

Survey Intake & Document Preparation
  • Track returned surveys, refusals, and bouncebacks in enterprise tracking systems
  • Clean, repair, rebubble, and prepare survey packets for scanner recognition
  • Create batch logs, header sheets, and maintain chain-of-custody controls
  • Program survey applications, response fields, barcode/Master ID capture, and validation logic
  • Configure Edit and Conversion Profiles
  • Perform full test scanning and data verification prior to production release
  • Batch, scan, edit, and convert high-volume surveys using production scanners
  • Validate Master IDs, open-ended responses, and file outputs
  • Troubleshoot recognition, feed, and conversion errors

Inventory & Supply Management
  • Assist manager with maintaining and reorder paper, toner, bindery supplies, and repro stock.
  • Assist manager with tracking inventory levels, usage trends, and waste logs to support operational efficiency.
  • Keep supply and storage areas organized and compliant with safety standards.

Administrative Support
  • Maintain well-organized digital folders for archived jobs, billing records, and job tickets.
  • Assist with generating internal chargebacks and reconciling billing reports.
  • Coordinate outgoing shipments (FedEx, USPS, courier), including labeling, packaging, and documentation.
  • Respond to questions from team leads or departments regarding job status, changes, or reprints.
  • Support quote generation, tracking deadlines, and preparing materials for delivery or pickup.
  • Keep the reprographics center clean, orderly, and in working condition.
  • Follow safety procedures for handling sharp tools, moving heavy objects, and operating high-speed machinery.

Minimum Qualifications
  • HS Diploma or equivalent
  • 5+ years of experience in a digital printing or reprographics environment.
  • Ability to lift and carry up to 50 lbs.

Preferred Qualifications & Skills That Are a Plus
  • Experience with file prep using Adobe Creative Cloud apps (InDesign, Illustrator, Photoshop).
  • Familiarity with SharePoint or other document management systems.
  • Exposure to quality control practices for printed materials.
  • Prior experience supporting proposal or time-sensitive print jobs.
  • Willingness to learn and adapt to new hardware/software platforms-training provided on specific equipment.
  • Comfortable working on-site in a production environment.
  • Familiarity with digital presses (e.g., Canon, Konica Minolta) and finishing equipment.
  • Proficient in Adobe Acrobat and Fiery Command WorkStation or similar RIP software.
