POSITION SUMMARY:
The Office Service Clerk will work to ensure that all the company is supported and supplied with all the necessary operational things to succeed at work. The ideal candidate will be a quick learner, friendly face to all, and a supportive team member to heighten the in-office experience. Some responsibilities include assisting in getting badges made, handling shipping, and maintaining orders in the office.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Supports the operating departments of New York City Tourism + Conventions by providing mailroom, delivery and administrative services in the most efficient, cost-effective means possible.
- Prepare, process, and distribute packages incoming and outgoing mail. inventory.
- Maintain inventory of office and mailroom supplies and coordinate with manager supply orders and deliveries
- Serve as the primary point of contact and technical expert for all mailroom equipment, including postage machines, FedEx/UPS shipping systems, sorting, folding, scoring, and cutting equipment.
- Coordinate mailroom projects, including monthly mailings, business card orders, bulk shipments, label and envelope generation, and time-sensitive mail campaigns.
- Provide logistical support for key organizational events, including the Annual Meeting, Gala, partner events, and/or staff gatherings. Responsibilities include coordinating shipments, transporting materials, managing event supplies, assisting with setup and breakdown, and ensuring all event-related materials are delivered to the appropriate locations in a timely manner.
- Operate, maintain, troubleshoot, and coordinate repairs for office printers, copiers, and related equipment.
- Train staff on mailroom and shipping procedures as needed. Provide pickup and delivery services for packages, boxes, and office materials throughout the organization.
- Oversee operation and stocking of the office kitchen area including but not limited to food, snack, and beverage machines.
- Maintain a clean, organized, safe, and secure mailroom environment.
- Manage and organize storage rooms, staging areas, and supply closets.
- Perform preventive maintenance on mailroom and office equipment and coordinate service calls when necessary.
- Perform minor office maintenance and assist with office moves, furniture setup, and workspace reconfigurations.
- Make deliveries and pick up materials, documents, and deposits from banks, vendors, and other locations throughout New York City.
- Assist with special projects and other operational duties as assigned.
KNOWLEDGE SKILLS AND ABILITIES:
- Valid driver's license required
- Previous mailroom, facilities, operations, or office services experience preferred.
- Strong organizational skills and attention to detail.
- Ability to lift and move packages, boxes, and office supplies up to 50lbs.
- Proficiency with Microsoft Office and shipping platforms (FedEx, UPS, USPS) is a plus.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong customer service and communication skills
