Job description

Job Title: Receptionist
FLSA Status: Non-Exempt
Department: Administration
Location: Home Office (Addison, TX)
*This is not a remote position. You are required to be present at KAI's office during normal work hours, which are 8:00 a.m. - 5:00 p.m., Monday through Friday.*
POSITION SUMMARY:
Responsible for providing administrative support to management in the form of answering multi-line telephone, word processing, organizing correspondence such as letters and memorandums, and maintaining the front office. This role will interact with all levels of the organization, customers, and vendors, and will be expected to multi-task, prioritize, and maintain a strict level of confidentiality. The person in this role is to work closely with the Chief Operating Officer in the development, implementation, and maintenance of various King Aerospace companies.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
  1. Responsible for answering all incoming calls within three rings with a smile in your voice. Transfer calls or take messages as necessary. Deliver all messages to the recipients immediately.
  2. Greet all guests and offer a beverage. Notify the appropriate employee about visitors.
  3. Prepares letters, reports, and other correspondence from draft documents in a timely manner.
  4. Sign for deliveries and distribute packages to addressees.
  5. Responsible for picking up and delivering mail to offsite Post Office daily. Sort mail by department, open, date stamp and deliver mail to appropriate office.
  6. Responsible for making global travel arrangements and accommodations for management, preparation of itinerary, trip files, and necessary items for trips.
  7. Assist in planning and preparation of meetings, conferences, and conference telephone calls, as well as office events and special projects.
  8. Responsible for overseeing outside cleaning services. This includes meeting cleaning crew at office and verifying all offices have been cleaned properly.
  9. Manage calendar for both personal and professional obligations ensuring all commitments and deliverables are met.
  10. Represent Chief Operating Officer at selected company events and travel domestically and internationally for company business.
  11. Keep refrigerator and kitchen stocked, inspect offices regularly for burned out bulbs, stained ceiling tiles or damage.
  12. Responsible for all other duties as assigned by manager.

QUALIFICATIONS / SKILLS
• Excellent written and interpersonal skills.
• Excellent organizational skills, attention to detail, and ability to multi-task.
• Ability to manage priorities to meet deadlines in a fast-paced environment.
• Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Publisher and Excel), Microsoft Project, E-Mail.
• Ability to work in a very direct and assertive working environment.
• Must be able to obtain security clearance as necessary.
EDUCATION/EXPERIENCE:
• Associate degree in business or related degree.
• Minimum of 7-10 years of experience as an Administrative Assistant reporting directly to senior management.
WORK ENVIRONMENT:
This is not a remote position. You are required to be present at KAI's office during normal work hours, which are 8:00 a.m. - 5:00 p.m., Monday through Friday.
PHYSICAL DEMANDS:
While performing the duties of this position, the employee is regularly required to walk, sit, and talk or hear, stand, and reach with hands and arms. The employee must frequently lift and / or move up to 10 pounds and occasionally lift and / or move up to 25 pounds.
