Job description

Summary:

The High School Secretary is accountable for customer service and efficient front office operation, including management of attendance, health and safety compliance, and support of the principal. This is a 12-month, year-round position. This role is required to maintain consistent high school office operations, such as student records management, support with graduation and transcript processing, summer programming, enrollment activity, and compliance-related timelines beyond the traditional academic calendar.

Duties and Responsibilities:

  • Maintain and update bookkeeping at the school and be accountable for the accounting process, including Purchase orders, check requests, employee expense reports, tuition assistance, budget worksheets, and weekly bank deposits.  
  • Complete purchase requisitions for supplies, books, and materials.
  • Order and maintain supplies as needed for office and school staff.
  • Inventory management for grant-funded assets.
  • Collect and deposit lunch funds.
  • Process Free and Reduced Lunch Forms.
  • Oversee receptionist responsibilities of the school and support an office environment that is professional, customer service oriented and supportive to visitors, parents, and students.
  • Answer phones, direct questions and inquiries, and distribute mail.
  • Ensures consistent and continuous front office operations and support throughout the full calendar year, including periods when school is not in session.
  • Ensure that security procedures are strictly followed by effectively manage the visitor management system or parent sign-in system.
  • Accurate use of facilities work order system.
  • Health and Safety Compliance, including maintenance of the following documents: Processing of insurance claims.
  • Distribute medication/attend to incidental needs of students.
  • Collect and enter Emergency Contact Forms for all students.
  • Provide support to ensure attendance is accurately completed amongst all staff each day.
  • Complete attendance compliance related documents for state reporting.
  • Student uniform management.
  • Complete correspondence, memoranda, and reports for the school Principal, as well as maintain calendar and appointments for school leadership.
  • Minimal travel required.
  • Performs other related duties as assigned.


Qualifications:

  • Possess an Associate Degree and/or 2-4 years' experience in Office or School-related administrative position. Proficient with Microsoft Office products.
  • Respond to common inquiries or complaints from parents.  
  • Communicate and work effectively with Students, Parents, Principal and Teachers.
  • Strong verbal and written communication skills.
