Facilities Coordinator (Remote)

Locations eligible: Austin, TX • Houston, TX • Dallas, TX • Pittsburgh, PA • Charlotte, NC • Atlanta, GA

We are seeking a highly organized, proactive Facilities Coordinator to support our rapidly growing network of office locations. This role is remote, but can require irregular travel to office sites. Candidates must reside in Austin, Houston, Dallas, Pittsburgh, Charlotte, or Atlanta.

In this role, you will partner closely with leadership, vendors, and cross-functional teams to ensure our offices operate smoothly, reflect our brand, and provide an exceptional experience for both employees and customers.

What You'll Do

Facilities Management & Upkeep

  • Oversee daily facility operations across multiple locations.
  • Ensure offices remain clean, organized, safe, and aligned with brand standards.
  • Schedule and supervise ongoing maintenance, repairs, inspections, and cleaning services.

Vendor & Contractor Management

  • Source, vet, and manage service providers (cleaning, security, HVAC, general contractors, etc.).
  • Assist in analyzing bids, negotiating contracts, maintain vendor records, and track performance.
  • Handle significant ongoing follow-up across multiple projects and vendors.
  • Ensure vendor alignment with leadership preferences and project timelines.

Project Coordination & Operational Excellence

  • Manage multiple facility projects simultaneously in a fast-paced environment
  • Track outstanding tasks, request updates, and maintain organized documentation.
  • Act as the main point of contact for facility-related issues and ensure timely resolution.

What We're Looking For

  • Experience in construction management, intensive project management, or office/facility operations.
  • Strong ability to navigate and manage multiple vendors and projects simultaneously.
  • Excellent follow-through—comfortable handling extensive and continuous communication cycles.
  • A quick learner who can grasp and execute highly specific operational preferences.
  • Strong customer service skills and the ability to keep vendors engaged and accountable.
  • High attention to detail, adaptability, and calmness under pressure.
  • Administrative or operations background; facilities experience highly preferred.
