Job Title: Vice President Facilities Management

Annual Salary:  $120,000 to $125,000

What We Are Looking For 

The VP of Facility Management is a senior manager responsible for the strategic oversight of all facility operations, maintenance, and capital improvement programs across the company's property portfolio. This individual will build and lead a high-performing facilities team, establish company-wide maintenance standards, manage vendor and contractor relationships, and ensure properties are safe, well-maintained, and operating efficiently. The role requires a strong balance of hands-on operational knowledge, financial acumen, solid communication skills, and leadership. Additionally, this position includes supervision of commercial maintenance teams, support and training for property maintenance teams, project management oversight, development of safety planning initiatives, and training on: Yardi Maintenance, Site Audit Pro, and Leonardo 24/7.

Essential Duties and Responsibilities

Commercial Properties

  • Supervise maintenance staff responsible for providing services across the Coast commercial portfolio; establish policies, goals, performance expectations, and measurable outcomes.
  • Oversee use of the Yardi work order system for commercial properties, including the mobile application; provide training and support for implementation at new properties and for new tenants.
  • Collaborate with maintenance staff and Property Managers to prepare and review annual service agreements, including elevator contractors, parking lot maintenance, fire and sprinkler maintenance, and other property service contracts.
  • Provide directions to maintenance staff and Property Managers in developing predictive and preventive maintenance programs for equipment, building systems, and maintenance services at commercial properties.
  • Ensure maintenance staff comply with applicable safety policies, training requirements, licenses, certifications, and other mandated qualifications. Build tracking systems to ensure that maintenance teams remain compliant with safety requirements.
  • Track and report on elevator, fire alarm, and other systems services to ensure they are up to date and services are performed annually.
  • Work with regional managers with insurance claims, property inspections, and other facilities requirements.

Multi-Family Properties

  • Provide guidance and support for the Yardi work order system for multi-family properties, including associated mobile applications.
  • Advise onsite teams in developing predictive and preventive maintenance programs for equipment, building systems, and site maintenance services.
  • Manage implementation and ongoing use of Leonardo 24/7 at participating properties; verify adoption, support new property implementation, evaluate effective use, and report results to management.
  • Lead Coast site staff safety planning initiatives, including development of overall and site-specific plans, delivery of related training, and confirmation that required training is completed and documented in accordance with applicable regulations.
  • Provide monthly online safety training opportunities for all sites.
  • Track and report on elevator, fire alarm, and other systems services that they are up to date and services are performed annually.

Project Management

  • Partner with Coast Property Managers, Regional Managers, and owners to plan and execute projects at commercial and multi-family properties, including scope development, tenant and owner coordination, permitting, bidding, contract negotiation, and project completion oversight.
  • Develop standardized work practices to support effective and accurate bidding of capital projects at multi-family properties.
  • Provide communication updates
