The Operations Coordinator serves as the operational backbone of the dispatch department by supporting load execution, shipment tracking, driver communication, documentation management, and billing preparation. This role ensures loads move smoothly from booking through invoicing by maintaining accurate data, monitoring shipment progress, collecting documentation, and providing exceptional service to drivers and customers. The Operations Coordinator allows the Dispatch Manager to focus on fleet optimization, customer relationships, and strategic dispatch decision-making by owning the transactional and administrative components of the workflow.
Dispatch Support
  • Enter load information into transportation management systems.
  • Create and distribute dispatch information to drivers.
  • Verify load details, appointment information, and special instructions.
  • Assist with scheduling and load coordination activities.

Shipment Tracking & Monitoring
  • Monitor daily load progress and shipment status.
  • Conduct check calls and follow-up communications with drivers.
  • Update load statuses within transportation systems.
  • Communicate shipment updates to customers and brokers.
  • Escalate service disruptions or concerns to the Dispatch Manager.

Documentation & Billing Support
  • Collect and organize proof of delivery (POD) documentation.
  • Verify load documentation is complete and accurate.
  • Support load closeout processes.
  • Prepare billing packets for invoicing.
  • Verify rate confirmations, load details, and supporting documentation match operational records.

Customer & Driver Service
  • Serve as a primary point of contact for routine driver and customer inquiries.
  • Provide professional and timely communication.
  • Assist drivers with operational questions and load information.
  • Maintain strong working relationships with drivers, customers, and brokers.

Administrative Support
  • Maintain accurate records and system updates.
  • Generate operational reports as requested.
  • Assist with auditing completed loads and transportation records.
  • Support onboarding and dispatch process documentation.

Education:
  • High school diploma or equivalent required.
  • Associate degree in logistics, transportation, business, or related field preferred.

Experience/Training:
  • 1-3 years of dispatch, transportation, logistics, customer service, or administrative experience preferred.
  • Experience using transportation or dispatch software preferred.

Knowledge, Skills, and Abilities:
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office and transportation systems.
  • Customer-service mindset.
  • Ability to work effectively in a fast-paced transportation environment.

  • Transportation or trucking industry experience.
  • Experience with McLeod, Transflo, ELD platforms, or dispatch software.
  • Strong problem-solving and customer service skills.

Physical, Mental, Environmental Demands:

The anticipated hiring range for the role you are applying for is between $22 and $26 hourly. This anticipated hiring range is based on several factors, and subject to increase based on the below:
