Pay Range: $20.00 - $25.00 per Hour DOE
Hemet Hills Post Acute is seeking a detail-oriented and organized Medical Records Assistant to join our team. This important role helps ensure resident medical records are maintained accurately, securely, and in compliance with federal and state regulations. The ideal candidate is dependable, organized, customer-service focused, and enjoys working in a fast-paced healthcare environment. Responsibilities and qualifications are based on internal Medical Records Assistant role guidance.
Position Summary
The Medical Records Assistant is responsible for maintaining resident medical records and health information systems while supporting the interdisciplinary team in ensuring accurate, complete, and compliant documentation. This position works closely with nursing staff, physicians, department leaders, and consultants to safeguard resident information and support quality patient care.
Essential Duties & Responsibilities
  • Maintain resident medical records in accordance with facility policies and regulatory requirements.
  • Assemble, organize, audit, and file resident charts and documentation.
  • Retrieve and distribute medical records and health information as requested by authorized personnel.
  • Ensure records are accurate, complete, and up to date.
  • File physician orders, progress notes, laboratory reports, assessments, and other clinical documentation.
  • Assist with admission, transfer, and discharge record processing.
  • Support medical records audits and compliance activities.
  • Maintain strict confidentiality in accordance with HIPAA and privacy regulations.
  • Collaborate with nursing, therapy, social services, and administrative teams.
  • Assist with tracking incomplete records and obtaining necessary corrections.
  • Support departmental projects and perform other duties as assigned.
Qualifications
  • High school diploma or GED required.
  • Previous experience in medical records, health information management, healthcare administration, or a skilled nursing facility preferred.
  • Knowledge of HIPAA regulations and medical record confidentiality requirements.
  • Experience with PointClickCare (PCC) or electronic health record systems preferred.
  • Strong organizational, time-management, and communication skills.
  • Ability to prioritize tasks and maintain accuracy in a busy environment.
  • Proficiency with Microsoft Office applications.
