The Role
This role is in office and reports directly to the Director of Customer Experience. The Reception and Office Administrator role is responsible for assisting the business in administrative and receptionist tasks, including acting as a 'voice' and 'face' of the company for visitors, always exemplifying a high level of professionalism.
Customer Experience Duties
  • Reception Duties, telephone answering, and customer service tickets
  • Customer data governance support for customer database (Salesforce and NetSuite)
  • Front Desk/Reception Coverage including:
    • Directing customers
    • Coordinating with office staff on deliveries, and vendor visits
    • Adding Welcome signs to the door to greet Vendors/Customers

Office Administration Duties as per roster/assigned such as Staff Lunches, Cleaning, Filing, Space Organization
  • Responsible for the general appearance, wellbeing, neat and tidiness and organization of the office.
  • Assist with minor IT issues in the office
  • Act as facility manager: Coordinate cleaning, HVAC servicing, printer maintenance, and other building services
  • Order and maintain stock levels of office supplies
  • Resolve operational problems related to customer service, accounting procedures and computer systems
  • Schedule appointments and office meetings as needed
  • Coordinate travel and accommodation arrangements and prepare related agendas for the company as required.
  • Operates standard office equipment/warehouse equipment efficiently
  • Coordination of the Quarterly Company newsletter
  • Act as liaison and assistant for SME's, board members, consultants and advisors for their needs when visiting BlastOne and arranging visits for BlastOne business
  • Assisting with administration duties such as Coordinating and scheduling travel as needed, Prepare Presentations and Spreadsheets
  • Mail distribution
  • Stocking fridges
  • Keeping the Board Room tidy
  • Providing food/coffee for in-person meetings and as needed
  • Set up training room for training events, using other teams to support
  • Support with safety and OSHA documentation
  • Other tasks as required
