Job description

The Purchasing Associate is a member of the Purchasing Team. This position’s primary duties include
entering and tracking the status of Purchase Orders (POs) placed with vendors. The Purchasing
Department works hand in hand with Vendors, Instrumart’s Order Management Team, and Engineering
to provide our customers with the most accurate information possible about their orders.

PRIMARY JOB DUTIES:

  • Create, review, approve, and send Purchase Orders to vendors
  • Monitor all orders placed with vendors and update the status according to the information provided
  • Contact vendors (by phone or email) whenever necessary to expedite, cancel, check status, or amend a PO
  • Use UPS, FedEx, LTL information, and the shipping tool to update the delivery status
  • Create Item Fulfillments for Drop Ship POs and Sales Orders
  • Collaborate with Order Management team members and Engineering to resolve any issues, such as delays that impact our customers' satisfaction
  • Working closely with the Shipping Department to ensure all packages/items are received, and monitoring missing/lost items
  • Assist the Accounting Department in resolving invoice issues such as price discrepancies, incorrect quantities, and miscellaneous fees
  • Preferred Stock Level Management (PSL) - Managing select inventory levels to ensure proper stock levels are in place to allow for daily business

  • Follow company safety policies and procedures and use required PPE
  • Complete the required safety trainings
  • Report hazards, unsafe conditions, and work-related injuries

PREFERRED SKILLS:

  • Familiarity with NetSuite or similar business management software
  • Experience with sharing a workload while working as part of a team
  • Experience working in an open office environment

LOCATION: This position is located in South Burlington, Vermont

WORK ATMOSPHERE: The Purchasing Associate works in a typical office environment. The office climate is controlled at a comfortable temperature year-round, air-conditioned in the summer, and heated in the cooler seasons. The office is very clean and has significant exposure to natural light. Substantial time spent at a desk, sitting, and doing repetitive motions through computer work.
