Position: Proposal Manager
Location: Irving, TX
Type: Full-time | On-site
Job Description:
Plans, prepares and coordinates the development of proposal responses (bids, quotations, RFPs and RFQs), marketing materials and other documents describing organizational services and handles and manages all (start to finish) marketing activity (primarily in response to client requests and/or promotional events). Representative work involves equal parts creative and analytical, is done with minimum supervision and under strict deadlines, and provides critical support that significantly impacts the direction of company revenue.
Key Responsibilities:
  • Proposal and Marketing Development:
    • Manages the entire proposal response and marketing activity process, from initial opportunity review and assessment to planning, development and execution to final submission, completion and/or capture.
    • Thoroughly analyzes proposal documents and marketing needs to understand requirements and identify key areas for focus.
    • Plan, develop and implement proposal response and marketing strategies, ensuring alignment with client needs and objectives and company strengths and goals.
    • Crafts and prepares persuasive and compelling content for proposals and marketing efforts, ensuring clarity, accuracy, visual appeal and compliance with proposal guidelines.
    • Coordinates and collaborates with and reviews and edits content from internal contributors, business partners and subject matter experts (e.g., sales, marketing, business development and technical) to create and develop compelling proposals and marketing content that is well organized, clearly written, visually appealing, compliant and maximizes business opportunities.
    • Prepares and maintains project completion data and description sheets, and personnel resume information for proposal and marketing content use.
  • Project Management:
    • Manages timelines, deadlines and priorities for proposal responses and marketing-related activities and events, ensuring timely completion, submission, and/or participation.
    • Delegates tasks to team members (primarily for technical content input into proposals and marketing materials) and tracks progress.
    • Develops and maintains a repository of templates, standard language, product collateral, exhibits and other data resources to create and prepare high-quality, accurate and efficient development of proposal and marketing content.
    • Manages "go/no go" proposal process and the marketing/proposal weekly meetings (and documentation updates)
    • Manages Salesforce content creation process and data management updates and reporting to maintain accurate records of all client information and contact history, proposal documents and submittal information (win/loss record analysis) and sales and marketing activities and submissions (for business benefit analysis).
    • Maintains and manages Keeper (password access software) and company (profile) access to proposal websites (advertising project work) to obtain client business solicitation notices.
  • Communication and Collaboration:
    • Serves as the primary point of contact for proposals and marketing-related inquiries.
    • Communicates effectively with internal and external stakeholders, including clients and consultant partners.
    • Facilitates meetings and prepares presentations and related material for clients and marketing/business development events/activities.
    • Tracks the status of submitted proposals and follows up with clients as needed.
    • Leads, collaborates and motivates sales and business development activities, providing guidance and support to internal contributors, to accomplish client interface tasks primarily involving proposal development and promotional marketing and sales activities.
  • Compliance and Quality:
    • Conducts quality checks/reviews to identify and correct errors or omissions and maintains a high standard of quality in all proposal responses and marketing material.
    • Reviews and analyzes past proposal responses and marketing material and activities to identify areas for improvement.
  • Business Development:
    • Identifies and pursues new proposals and marketing opportunities
    • Contributes to the development of business development strategies

Skills & Competencies:
  • Strong organizational, planning, and project management skills (primarily to organize and develop information for responses, manage documents and deliverables, and to keep track of deadlines and associate activities and critical data).
  • Strong leadership skills to be able to lead and motivate teams to achieve common goals.
  • Ability to stay on top of multiple simultaneous projects and work under pressure with strict deadlines, requirements and deliverables and the confidence to work independently and as part of a team at all levels to accomplish objectives.
  • Ability to analyze complex information and develop effective solutions without prompting and to pay attention to detail (be meticulous) to ensure compliance and accuracy.
  • Have a working understanding of the AEC proposal development (lifecycle) and contracting processes.
  • Understand sales and marketing principles to work closely with sales and business development teams.

Required Qualifications:
  • BA/BS in Communications, Journalism, English, Marketing, and/or Business
  • 3+ years' experience in proposal management, proposal development or similar job role.
  • 1-2+ years of general experience in AEC industry. Proficiency required in: Adobe Creative Suite (primarily InDesign, Photoshop, Illustrator), CRM, Microsoft Office Suite (Word, Excel & PowerPoint), & WordPress.
  • Experience with: Salesforce, Deltek, Google Analytics, & Microsoft SharePoint. (preferred)
