Proposal Specialist (RFP & Proposal Management)

Location: Grapevine, TX

Base Salary: $85,000 annually

Schedule: Mondayโ€“Friday, 8:00 AMโ€“5:00 PM, with flexibility during proposal deadlines

Employment Type: Full Time/Direct Hire

Work Setup: Fully onsite for first 90 days โ€“ Hybrid schedule afterward (3 onsite / 2 remote)

Position Summary

The Senior Proposal & Marketing Specialist leads the development of proposals, RFP responses, and marketing materials that support business growth and strengthen market positioning. This role partners closely with Sales, Marketing, and Leadership to create compelling client-facing content while supporting broader marketing initiatives and process improvements.

The ideal candidate has a balanced background in both proposal management and marketing communications, with strong writing, project management, and strategic thinking skills.

Key Responsibilities

Proposal & RFP Management

  • Lead proposal and RFP development from kickoff through submission
  • Develop clear, persuasive, and client-focused content
  • Partner with Sales and Leadership on win strategies and messaging
  • Manage proposal timelines, templates, and content libraries
  • Utilize proposal management tools such as Qvidian, Loopio, or similar platforms

Marketing & Content Development

  • Create and update marketing collateral, presentations, case studies, and sales materials
  • Support website content, marketing communications, and digital initiatives
  • Ensure messaging aligns with brand standards and company strategy

Strategic & Sales Support

  • Support sales enablement with competitive research and market insights
  • Identify opportunities to improve processes using AI and automation tools
  • Assist with conference coordination, promotional materials, and print requests

Qualifications

  • Bachelorโ€™s degree in Marketing, Communications, Business, or related field
  • 7+ years of experience in proposal management and marketing communications
  • Strong experience with RFPs and proposal ownership
  • Excellent writing, editing, and organizational skills
  • Experience with proposal management tools (Qvidian, Loopio, RFPIO, etc.)
  • Proficiency in Microsoft Office and familiarity with CRM platforms
