Job description

Wharton-Smith Construction Group is seeking a motivated Proposal Coordinator with 0-3 years of experience in marketing, communications, proposal development, or a related field. Preference will be given to candidates with experience or interest in the construction, architecture, engineering, or related industries.

As a Proposal Coordinator located in our Sanford, FL headquarters or one of our branch offices, you will have the opportunity to work on a team in pursuit of projects for commercial construction and water/wastewaterย  construction projects. You will assist in and learn all phases of proposal preparation, from start to finish, including writing, production, and distribution of competitive marketing proposals and presentations.

This position supports proposal development, marketing initiatives, and business development efforts while contributing to a fast-paced, collaborative environment focused on delivering high-quality marketing materials and client-focused solutions.

Responsibilities

  • Coordinate, compile, and track materials for proposals to meet submission deadlines and client requirements throughout the project lifecycle.
  • Create and assemble proposal documents, presentations, qualifications packages, and marketing materials using various software platforms.
  • Write and edit project summaries, staff resumes, project descriptions, and supporting proposal content.
  • Ensure all proposal and marketing materials comply with client requirements, corporate branding standards, and industry best practices.
  • Proofread, edit, and standardize proposal content for grammar, spelling, formatting, accuracy, and consistency.
  • Assist in maintaining and updating project information databases and marketing resource libraries throughout proposal, construction, and post-construction phases.
  • Attend project milestone events for assigned projects.
  • Participate in client shortlist interviews and final selection meetings.
  • Assist with award submissions, marketing collateral development, and special projects as assigned.
  • Support general marketing and communications initiatives as needed.
  • Some travel and overtime may be required.

Qualifications

  • Associate's or Bachelor's degree in Marketing, Communications, English, Journalism, Business Administration, or a related field; or equivalent professional experience.
  • 0-3 years of experience in marketing, communications, proposal development, business development support, or related disciplines.
  • Construction, architecture, engineering, or related industry experience is highly desired.
  • Strong written and verbal communication skills with the ability to work effectively with individuals at all organizational levels.
  • Ability to write, proofread, edit, and format professional proposal and presentation content.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Ability to work independently and collaboratively in a team environment.
  • Comfortable working in a fast-paced, deadline-driven environment.
  • Ability to travel up to 10%.
  • Must be authorized to work for a U.S. employer.
  • Fluency in English required.

Education

Associate's or Bachelor's degree in Marketing, Communications, English, Business Administration, Journalism, or a related field from an accredited institution; or equivalent professional experience.

Preferred Qualifications

  • Experience within the Architecture, Engineering, and Construction (AEC) industry.
  • Experience supporting proposal development and pursuit activities.
  • Experience with Adobe Creative Cloud, including InDesign, Photoshop, and Illustrator.
  • Print and digital graphic design experience.
  • Experience supporting presentation development and interview preparation.
