JSM & Associates, LLC is seeking a Proposal Coordinator at the corporate office in Apopka, FL. The Proposal Coordinator is responsible for reading complex aviation solicitations, coordinating responses, and writing persuasive, compliant bids to win aviation contracts. Managing the end-to-end bid process for potential projects and contracts. This role involves the coordination of resources, analysis of requirements, and the development of compelling proposals that align with client needs and company objectives. This is a career-track opportunity, and we are looking for an individual ready to commit to a long-term professional future with our company, with an expected commitment of at least 1 year.

Job Responsibilities:

RFP Analysis & Strategy: Reviewing intricate Requests for Proposals (RFPs), Requests for Information (RFIs), and contract solicitations to identify requirements, evaluation criteria, and FAR (Federal Acquisition Regulation) compliance rules.

Content Creation: Drafting non-technical proposal sections, such as executive summaries, past performance overviews, while integrating corporate "win themes".

Cross-Functional Collaboration: Collaborate with subject matter experts (SMEs) and proposal contributors to articulate complex facets of products and services. Collaborate with cross-functional teams to gather necessary information and insights.

Document Publishing & Design: Managing the document layout, graphics, and desktop publishing to ensure the final bid meets all strict formatting, cross-referencing, and style requirements before the deadline.

Content Management: Maintaining and updating a database of pre-approved, reusable proposal content for future bids.

  • Read incoming requests for proposals and contribute to the win theme discussions
  • Participate in kick-off meetings, strategy sessions, and proposal project planning
  • Review and customize RFP responses from the proposal content library
  • Review and edit RFP responses created by SMEs and stakeholders from various internal teams
  • Ensure responses follow brand style and tone guidelines
  • Verify that responses address key customer hot buttons and win themes
  • Write or review additional RFP response documents and attachments, including RFP cover letters and executive summaries
  • Incorporate feedback from proposal review sessions
  • Assist with proposal knowledge management and retention of content for future use
  • Coordinate and lead the proposal development process, including writing, editing, and submission
  • Develop and maintain proposal templates and standardized content
  • Ensure all proposals are compliant with client requirements and company standards
  • Track and report on proposal statuses, outcomes, and win/loss ratios
  • Responsible for coordinating, writing, editing, and producing statements of qualifications (SOQ), proposals, presentations, and other marketing collateral
  • Handle production and arrange for on-time delivery of proposals
  • Develop presentations or other marketing collateral for the interview phase
  • Work with technical staff to develop proposal sections, fees, and scopes of work
  • Maintain scheduling and tracking systems for individual pursuit and proposal elements and status
  • Maintain systems to extract, categorize, and retrieve information on clients, consultants, personnel, projects, prior proposals, boilerplate, and necessary graphics and visuals
  • Maintain a deep understanding of the company and market sector's capabilities and experience, key trends, and drivers impacting the market, and translate them into actionable marketing content and win strategies
  • Support and update the company database with employees, projects, and proposal information continuously
  • Safety and compliance training as required
  • Perform other related job duties as assigned

Qualifications

  • Bachelorโ€™s degree in business, Marketing, Communications, or related field
  • 3-9+ years of bid or proposal management experience, specifically within the defense, aerospace, or aviation sector
  • Advanced skills in Microsoft Office (Word, PowerPoint, Excel) and desktop publishing tools like Adobe InDesign or FrameMaker
  • Certification: APMP (Association of Proposal Management Professionals) or Shipley, preferred
  • Proven experience in proposal management, preferably within a sales or business development environment.
  • Strong organizational and project management skills
  • Excellent written and verbal communication abilities
  • Excellent time and project management skills, passion for details, and ability to work on multiple assignments simultaneously while maintaining high quality and accuracy
  • Attention to detail and ability to adhere to deadlines
  • Ability to communicate complex concepts and storytelling in both written and graphic form
  • Ability to produce accurate, compliant, and compelling work (independently or with others)
  • Ability to contribute creative/strategic insight while participating in brainstorming and strategy development
  • Ability to utilize a theme-based approach when developing proposals, presentations, and other marketing materials
  • Ability to maintain good working relations with employees at all organizational levels. Excellent interpersonal skills

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at a time
