Job description

We are seeking a highly motivated and self-starting individual to join our team as a Property Management Assistant. This position is an excellent opportunity for someone interested in pursuing a long-term career in property management with potential for growth and career advancement. As part of our team, you will be responsible for a variety of office-based tasks to support the effective management of properties, to ensure excellent customer service and smooth day-to-day operations.

Key Responsibilities:

System Management:

  • Input and update service requests and work orders in property management systems.
  • Track, manage, and follow up on outstanding work orders to ensure timely resolution.
  • Maintain accurate written records of tenant and vendor communications.

Tenant and Vendor Coordination:

  • Contact vendors for service scheduling and follow up for status updates.
  • Communicate with tenants regarding work orders, maintenance updates and any other property-related matters.
  • Monitor open work orders to confirm task completion.
  • Assist with ensuring quality work completion and tenant satisfaction.

Customer Service:

  • Provide courteous and professional customer service to tenants, vendors, and prospective clients.
  • Resolve issues efficiently while maintaining a positive and helpful demeanor.

Administrative Support:

  • Utilize Microsoft Office applications and property management software for daily tasks.
  • Prepare, monitor and manage property-related documentation, as needed.
  • Support the property management team with additional administrative duties.

Property Inspections:

  • Perform visual on-site property inspections of vacant and occupied units.
  • Create inspection reports, take photos, and generate work orders.
  • Communicate with Property Owners, tenants and vendors regarding repair work.

Qualifications:

  • 3-5 years or more of property management experience.
  • Excellent telephone etiquette, verbal communication skills and customer service.
  • Strong organizational skills with a keen attention to detail and ability to multitask.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn property management software.
  • A Real Estate License preferred, but not required.

Work Environment/Hours:

  • A dynamic, fast-paced, kind, collaborative and supportive team environment.
  • This role is primarily based in our office located in Burbank, California, with on-site property inspections in Burbank and the surrounding area.
  • Typical work hours are Monday through Friday, 8:00 AM to 5:00 PM, with potential for flexibility and remote work depending on business needs and prior approval.
  • Our small team consists of highly efficient property managers that are managed by the owner, a real estate broker and agent with 20 years of experience in property management and sales.
