Job Title: Assistant Property ManagerJob Description
We are seeking a dedicated and organized Assistant Property Manager who will provide essential administrative support to our property management team. This role involves a variety of responsibilities that contribute to the smooth operation of property management, tenant relations, and office administration.
Responsibilities
  • Provide comprehensive administrative support, including phone support, typing reports, filing, and distribution of correspondence.
  • Schedule and coordinate meetings and special events as requested.
  • Assist in lease administration activities, including tenant contacts and insurance information, and generate relevant reports.
  • Prepare and coordinate bid proposals, service contracts, and approved invoices.
  • Assist in the bidding process and support Property Managers to ensure compliance with policies and procedures.
  • Prepare and code invoices for Property Manager's approval.
  • Ensure the office is stocked with necessary supplies and items.
  • Ensure prompt and accurate completion of contract and certificates of insurance information in contract administration software.
  • Track and file contracts and insurance certificates and maintain a follow-up system for expirations.
  • Monitor and maintain the property maintenance work order system and prepare monthly reports on tenant work orders.
  • Maintain the property purchase order system.
  • Maintain lease and contract files as well as other files within the property management office.
  • Promote and foster positive relationships with tenants and track service calls as required.
  • Assist with monthly and quarterly management reports and annual budget preparation.
  • Process management and maintenance staff hours, tenant bill-back invoices, and various expense reports.

The position requires remaining stationary, sitting or standing for 85% of the time, and regularly operating office machinery.

Pay and Benefits
The pay range for this position is $27.00 - $28.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
