Job description

We are seeking a Schedule Coordinator to join our team part-time with the possibility of going full-time in the future. Duties will include maintaining builder/customer accounts and scheduling customer work orders for new construction, commercial, and remodel projects.

We're seeking someone to work Monday through Friday from 9:00 a.m. to 2:00 p.m. or 9:00 a.m. to 3:00 p.m., making it an excellent fit for anyone looking to work while the kids are in school or for someone who wants a part-time role to stay active and engaged. Enjoy a relaxed, team-oriented work environment with no evenings or weekends, along with the potential for this position to grow into a full-time opportunity in the future.
A successful schedule coordinator should have excellent communication and relationship-building skills and enjoy working in a fast-paced environment. Reports to the Schedule Supervisor.
Responsibilities
Below are some responsibilities that schedule coordinators are expected to assume:
  • Monitoring customer work orders and their portals daily
  • Entering or updating work orders from emails, phone calls or the client's portal
  • Communicating schedule changes and reasons for the changes utilizing appropriate methods to all stakeholders
  • Collaborating with team members, internal departments, external providers and government entities to ensure the fulfillment of customer requests and needs
  • Building relationships with clients to ensure brand and company success
  • Providing regular updates, responding to inquiries, and addressing any client concerns promptly
  • Creating a pleasant experience for clients, co-workers, external providers and management
  • Demonstrating customer service skills and providing solutions to resolve issues
  • Work closely with team members and the Scheduling Supervisor to accomplish the company's and the department's goals
  • Other duties as assigned

Job Qualifications and Skill Sets
Below are the qualifications expected of a schedule coordinator:
  • Ability to multitask and juggle several responsibilities
  • Think analytically and strategically, and have the ability to solve issues
  • Enter data with a high-level of accuracy and attention to detail
  • Excellent technical and verbal/written communication skills
  • Competency using Microsoft Office Suite and the ability to successfully learn new software platforms
  • Excellent planning, organizational, and time management skills
  • Customer service experience
  • A track record of following through on commitments
  • Experience using scheduling or customer relationship management software is a plus
  • Some construction or plumbing industry knowledge is a plus but not required
  • Prior experience working for a home builder is not required, but is a big plus
  • Spanish speaking is a plus but not required
